Role overview

Join EY in Singapore as an Operations Coordinator and support the practice with end-to-end resource planning and coordination. The position focuses on aligning upcoming work with available capacity, resolving scheduling conflicts, and applying a consistent planning approach across the business unit. You will work closely with key stakeholders to keep resource information accurate and to support effective workforce allocation.

The role also includes preparing regular reporting for the business unit, including weekly chargeability and utilisation updates as well as monthly forecasts. Key responsibilities

  • Review incoming planning requests and changes from engagement teams, and assess whether the proposed plan is appropriate.
  • Track team availability, identify booking clashes, and monitor any resource gaps or shortages.
  • Support and coordinate the year-end planning cycle.
  • Examine engagement metrics and question allocations where needed to ensure resources are assigned properly across the business unit.
  • Give priority to client bookings when required.
  • Produce weekly utilisation and chargeability reports, check them for discrepancies, and investigate any issues that arise.
  • Prepare monthly forecasts and related analysis for the business unit.
  • Keep annual headcount projection records up to date.
  • Help client-facing staff understand the resource allocation process.
  • Work with Learning and Development to schedule resources for training sessions.
  • Update counsellor and buddy details in the Lead system.

Requirements

  • Strong command of Microsoft applications.
  • Intermediate to advanced proficiency in Excel.
  • Prior experience working with large teams in a professional, service-driven environment is preferred; workforce planning or resource planning exposure is useful but not mandatory.
  • Strong interest in resource management and improving planning practices.
  • Good understanding of the financial and performance drivers of a professional services firm, especially production and utilisation, or the ability to learn these quickly.
