Job description
Role Overview
The Museum is hiring a full-time Event Manager to lead facility rental events. Reporting to the Senior Director, this person will serve as the main point of contact for outside clients while helping generate revenue through well-planned and well-executed events. The role includes promoting venue spaces, coordinating bookings from the first inquiry through contracts, managing the event calendar, and handling on-site setup, operations, and breakdown.
The ideal candidate is comfortable working across departments and brings strong communication, presentation, creativity, organization, and problem-solving skills.
Pre-Event Planning and On-Site Delivery
- Lead facility rental events and manage the guest experience, event flow, timelines, and detailed logistics.
- Define project roles and staffing needs, making sure key on-site functions are properly covered.
- Oversee internal work orders and manage outside vendors such as rentals and catering while staying aligned with event standards.
- Coordinate venue readiness with internal teams including Facilities, AV, IT, Security, and Valet.
- Prepare, present, and carry out key event materials such as timelines, run-of-show documents, budgets, event plans, and presentation decks.
- Take on additional assignments and special projects as needed.
Program and Department Support
- Support the facility rental program by showcasing event spaces, keeping physical and digital materials current, and helping develop marketing and sales approaches that support revenue targets.
- Apply sound practices for budgeting, vendor agreements, and expense reconciliation.
- Maintain detailed event records, including photography files, run-of-show documents, and budget tracking, to keep information organized and easy to access.
Guest Relations and Communication
- Represent the museum professionally and build strong relationships with clients and corporate partners while supporting the institution’s mission.
- Handle high-level guest and VIP communication with a polished, attentive approach that aligns with Development Department expectations.
Creative Event Development
- Develop fresh ideas that improve the guest experience and strengthen client engagement.
- Create presentation materials that summarize event updates and design concepts for leadership review.
- Maintain a sharp eye for detail and adapt each event to the specific audience and occasion.
Benefits
The anticipated pay range for this Los Angeles-based role is $68,000 to $72,000 per year, and the position qualifies for the organization’s full benefits package, which includes a pension plan.

Qualifications
- A bachelor’s degree in Art History, Communications, Marketing, Public Relations, or a closely related discipline.
- At least 5 years of experience in event planning, event production, or a comparable position.
- Working knowledge of Google Workspace, including Docs, Slides, Sheets, and Forms.
