Role Overview
The Logistics & Shipping Coordinator will handle end-to-end shipment coordination for inbound and outbound movements, support warehouse logistics activities, and manage customs-related documentation for manufacturing and operational projects under SCM.
Inbound Logistics
- Arrange the receipt of tools, materials, and equipment into the warehouse.
- Examine supplier shipping paperwork, including commercial invoices, packing lists, and delivery documents.
- Liaise with suppliers and freight forwarders to align shipment arrivals.
- Assist with preparing and monitoring Delivery Advice (DA), Receipt of Equipment (ROE), Bill of Entry (BOE), and Gate Pass (GP).
- Keep shipment and customs records updated in company systems and trackers.
- Work with warehouse and store teams to confirm material receipt and inspection progress.
Outbound Logistics and Shipping
- Prepare shipping documents for both local and international dispatches.
- Draft and verify packing lists, commercial invoices, delivery advice, export shipping documents, and HS code summaries.
- Coordinate outbound dispatches with warehouse, workshop, and freight service providers.
- Confirm that shipment documents are accurate before release.
- Support shipment booking and coordination with logistics partners.
- Track shipment movement and follow up on delivery updates.
Customs and Compliance
- Coordinate BOE and customs paperwork with clearing agents.
- Maintain organized records for import and export transactions.
- Ensure all shipping documentation meets UAE and destination-country requirements across the MEA, Europe, and USA regions.
- Support audit readiness and document traceability requirements.
Experience and Skills
The ideal candidate brings 3 to 7 years of experience in logistics, shipping coordination, or supply chain operations. Prior exposure to manufacturing, oil & gas, or industrial settings is preferred. Strong knowledge of import/export documentation, customs procedures in the UAE and globally, and international freight coordination is essential. Familiarity with JAFZA logistics procedures is mandatory. The role also requires good command of shipping documentation, ERP systems preferably IFS, strong Excel capability, and the ability to manage several shipments at the same time.
