Alliance Mobile is seeking a highly organized, people-focused, and detail-oriented HR Assistant to support our growing Human Resources team. This role plays a critical part in maintaining smooth HR operations by handling foundational administrative, communication, onboarding, and employee support functions across the organization. The HR Assistant will help create an exceptional employee experience while supporting the HR and Recruiting team by managing daily operational responsibilities, employee communications, and HR coordination tasks. Core Responsibilities
HR Communications: Send standard HR communications including COS/termination emails, new hire communications, UID Ready and Blacklisted notices, Letters of Separation, time review emails, orientation call emails, and headshot audit notifications. Maintain and distribute updated store lists and market/district leadership changes. Communicate dual Store Manager updates to the Commissions team. Coordinate with Staff Support on shared communications, trackers, and spreadsheets.
Onboarding & Offboarding Support: Support administrative tasks for new hires and terminated employees, including adding them to yearly HR tracking checklists. Assist with the distribution and tracking of onboarding paperwork. Support offboarding administrative processes to ensure a smooth transition for departing employees.
New Hire Orientation Support: Assist in managing orientation call rosters and scheduling. Help maintain and update orientation call content and materials. Send orientation invites, reminders, and follow-up communications to new hires to support a welcoming onboarding experience.
Employee Recognition Program: Pull UKG reports to identify upcoming birthdays and work anniversaries. Publicize celebrations through workplace communication platforms. Manage DoorDash birthday budget distributions. Track and recognize employee milestones (1, 3, 5, and 10-year anniversaries) and coordinate appreciation initiatives.
Administrative & Office Duties: Answer office phone calls and maintain office extension lists. Greet guests and monitor front office activity. Manage office supply and operational orders through vendors. Coordinate flower and gift orders. Submit IT tickets for rehires, email changes, authentication issues, and device concerns. Assist with headshot compliance and shirt size audits for marketing initiatives.
Employee Support: Resolve incoming HR Zendesk tickets promptly and professionally. Direct employees to the appropriate department when necessary. Provide support and assist with employee concerns when HR leadership is unavailable, helping to maintain a positive employee experience.
Reporting & Auditing Support: Update commissionable dates in Alliance systems for employees. Assist with store closure updates across company systems. Support HR audit projects and reporting tasks, helping to maintain accurate employee records and HR data integrity.
Qualifications
Previous administrative, office, HR, or customer service experience is preferred. Strong organizational skills and meticulous attention to detail are essential. Excellent written and verbal communication abilities are required. The candidate must be able to handle confidential information professionally and be comfortable working in a fast-paced, evolving environment. Proficiency in Microsoft Office, Google Workspace, and spreadsheet management is necessary. Experience with HRIS systems, Zendesk, UKG, or workforce management systems is a plus. A positive attitude and a team-first mindset are highly valued. A Bachelor's Degree or progress towards completing one is required.
Position Details
This is a full-time position requiring 40 hours per week. The salary ranges from $48,000 to $50,000 annually, commensurate with experience. Employees are eligible for corporate-level Medical, Dental, Vision, LTD, STD, and Life Insurance. Enrollment in the 401k plan is available after 90 days of employment, with a company match. Paid Time Off (PTO) is accrued at the corporate benefit level. The work location is the Corporate Office in Troy, MI.
