Role Overview
An expanding oil and gas organization in Dallas, Texas is hiring a seasoned and highly organized Executive Assistant to support senior legal leadership. This role is critical to keeping executive schedules aligned, communication flowing, and sensitive matters managed with professionalism and care. The right candidate will bring sound judgment, strong coordination abilities, and the composure needed to balance multiple priorities in a demanding corporate setting.
What You'll Do
- Manage executive calendars, arrange meetings, coordinate travel, submit expense reports, and track follow-up actions so leadership commitments stay on schedule.
- Support senior legal team members by handling daily administrative work and contributing to smooth department operations.
- Assist with key initiatives by monitoring deadlines, collecting status updates, and helping ensure action items are completed promptly.
- Serve as a primary communication link between legal leaders, board-related stakeholders, internal teams, and external contacts.
- Draft, format, and organize business documents such as reports, presentations, and other materials used for operational or strategic review.
- Keep electronic and paper records well organized so important files remain accurate, accessible, and properly maintained.
- Flag urgent matters, changing priorities, and developing needs to help executives respond quickly and make informed decisions.
- Collaborate with other executive assistants on shared tasks, including responsibilities tied to board administration.
- Handle additional tasks and special projects as business needs change.
Experience and Qualifications
- A minimum of 6 years of experience in an executive assistant role or a more advanced administrative support position.
- Proven ability to manage confidential information with tact, discretion, and good judgment.
- Strong organizational skills and the ability to juggle several priorities and deadlines in a busy environment.
- Excellent attention to detail, along with solid analytical and problem-solving capability.
- Experience reviewing business or legal documents and identifying inconsistencies or conflicts.
- Proficiency in Microsoft Office, particularly Excel, and familiarity with platforms such as Concur.
- Strong written and verbal communication skills, plus the ability to build effective working relationships.
- A calm, polished, and detail-oriented approach to day-to-day work.
- High school diploma is required; a bachelor's degree or administrative certification is preferred.
