About the Role
We are seeking an experienced Executive Assistant to join the Chief Executive’s Office. This role will provide high-quality, confidential, and proactive support to the Chief Executive and Director of Communications within a dynamic and high-profile setting. You will be instrumental in helping senior leaders achieve Trust priorities effectively. The position requires a high degree of professionalism, discretion, and robust organizational capabilities to manage demanding workloads and evolving priorities.
You will collaborate closely with Executive and Non-Executive Directors, senior management, colleagues across the Trust, and external stakeholders, including NHS England. The specific executive support alignments may be subject to change based on organizational needs.
This is a hybrid position, primarily based at York Hospital, requiring a minimum of three days on-site per week, with Mondays being essential. Some flexibility may be necessary to ensure business continuity.
Key Responsibilities
- Provide comprehensive and confidential administrative support to the Chief Executive and Director of Communications.
- Manage complex diaries and schedules, ensuring efficient time management for senior leaders.
- Facilitate effective communication between senior leaders, directors, staff, and external partners.
- Assist in the preparation of reports, presentations, and other essential documents.
- Handle sensitive information with the utmost discretion.
- Coordinate meetings, including scheduling, minute-taking, and follow-up actions.
- Support the smooth operation of the Chief Executive’s Office.
- Adapt to changing priorities and manage multiple tasks effectively.
Requirements
- A minimum of two years' experience in providing executive support to a Director or Senior Manager, including complex diary management, or equivalent relevant experience.
- Demonstrated ability to manage complex workloads and shifting priorities.
- Excellent communication and interpersonal skills.
- Proficiency in standard office software.
- High level of discretion and confidentiality.
- Strong organizational and time-management abilities.
