Role overview

This position provides dedicated support to an SVP and three VPs who lead collaborative teams working across global studio and production efforts and a high-performing talent organization. The environment is fast-moving and highly people-focused, so the ideal candidate is someone who is proactive, dependable, and comfortable partnering closely with senior leaders to keep complex work organized and on track.

Key responsibilities

  • Provide end-to-end administrative support to four senior executives, helping move priorities forward and resolve day-to-day challenges.
  • Oversee day-to-day office coordination and ensure smooth operations.
  • Act as a point of contact between the executives and other executive assistants, IT, and Facilities teams.
  • Handle calendar management, meeting scheduling, appointment booking, travel planning, expense processing, presentation preparation, event coordination, and meeting logistics.
  • Arrange detailed business travel and support expense submissions while following company policies and ensuring smooth execution.
  • Process invoices related to executive costs and coordinate with Finance to resolve any issues.
  • Organize administrative workflows for the assigned leaders and follow up on action items on their behalf.
  • Work with a high level of discretion, professionalism, and confidentiality at all times.
  • Communicate and coordinate with internal and external contacts at senior levels on behalf of the executives.

Required experience and skills

  • At least 3 years of experience as an executive assistant or in a similar administrative support role.
  • Strong understanding of office management and daily operational workflows.
  • Proven ability to coordinate complex, high-volume executive travel.
  • Skill in juggling multiple priorities and working efficiently under pressure.
  • Excellent organization and time management capabilities.
  • Strong written and verbal communication skills.
  • Ability to handle sensitive information with confidentiality and judgment.
  • Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.

Preferred qualifications

  • Additional language fluency is an advantage, especially Spanish, due to the team’s global scope and cross-functional partnerships.
  • Experience with Concur and Workday is strongly preferred.
  • Availability to work evenings, weekends, or holidays is preferred.

Compensation and benefits

The hiring range for this role in Bristol, Connecticut is $79,400 to $106,500 per year, based on a 40-hour work week. Weekly hours may change depending on business needs. Actual pay may vary based on internal equity, the candidate’s location, job-related knowledge, skills, and experience. The overall package may also include a bonus and/or long-term incentive units, along with medical, financial, and other benefits depending on the level and position offered.
