Role overview
This opportunity is for an Executive Assistant who wants to grow into a Project Coordinator position. You will support one senior executive at a respected executive search and consulting firm, while handling a mix of executive support, coordination, and client-facing administrative work.
What you will do
- Serve as the initial contact for clients and help manage day-to-day communication.
- Prepare, update, and edit documents in Microsoft Word and PowerPoint.
- Support database upkeep and client information management.
- Handle extensive scheduling for client meetings and related coordination.
- Arrange travel and process expense reimbursements.
- Safeguard sensitive and highly confidential information at all times.
- Take ownership of tasks and do whatever is needed to complete the work effectively.
Candidate profile
The role suits someone with strong executive support experience, excellent organization, and the ability to work efficiently in a fast-moving environment. The ideal candidate should be comfortable learning new systems, managing multiple priorities, and communicating professionally in writing and speaking.
Qualifications
A bachelor’s degree is required, along with at least 5 years of prior support or coordination experience, including a minimum of 2 years assisting a senior executive. Background in financial services, professional services, or a similar setting is preferred. Strong skills in Outlook, PowerPoint, and Word are necessary, and prior exposure to CRM tools is helpful. The position also calls for excellent written and verbal communication, strong attention to detail, and the ability to build a clear and structured workflow.
Compensation and work arrangement
The compensation range is $80,000 to $90,000 per year, plus paid overtime and bonus. The role is based in Midtown, New York City, with three days per week in the office.
