About the Role

This is a remote Executive / Personal Assistant position supporting a San Francisco-based professional in the tech startup ecosystem. The role blends business and personal support, with the goal of reducing day-to-day administrative load so the client can stay focused on higher-value work.

The assistant will handle recurring coordination, research, scheduling, reminders, vendor communication, and other practical life-management tasks. The ideal person is organized, proactive, detail-focused, and comfortable turning open-ended requests into clear next steps.

Working Arrangement

This is a full-time role and independent contractor arrangement. Candidates should be based in the Philippines, Latin America, or South Africa, and must be able to overlap with Pacific Time business hours each day.

Compensation is listed at $1,250 USD.

Core Responsibilities

  • Own calendar management and scheduling for meetings, appointments, apartment visits, service bookings, and other time-sensitive commitments.
  • Send reminders and manage follow-ups so emails, tasks, and personal to-dos are tracked through completion.
  • Keep task lists organized and help determine what needs attention first.
  • Investigate products, vendors, services, and solutions based on specific needs.
  • Evaluate alternatives and share concise recommendations that include pricing, availability, reasoning, and next steps.
  • Coordinate with vendors, service providers, leasing offices, organizers, cleaners, movers, and similar contacts.
  • Assist with email or message-based coordination connected to logistics, scheduling, and service arrangements.
  • Support purchasing research and help identify items that match the client’s preferences.
  • Help with personal administration such as apartment search coordination, home organization, and appointment planning.
  • Ask clarifying questions early and often, especially when a request is ambiguous or incomplete.
  • Bring structure to both personal and professional work so priorities are easier to manage.
  • Proactively surface overdue items, pending replies, and tasks that need the client’s input.

Requirements

  • Prior experience in an Executive Assistant, Personal Assistant, Virtual Assistant, Administrative Assistant, or comparable support role.
  • Strong written and spoken English communication skills.
  • Excellent organizational ability and dependable task follow-through.
  • Strong research capabilities, including the ability to compare choices and summarize findings clearly.
  • Comfort working across both professional and personal support needs.
  • Experience handling calendars, appointments, meeting setup, and service coordination.
  • Ability to work autonomously in a remote setting.
  • High attention to detail and consistent ownership of tasks.
  • Comfort with asking questions instead of guessing.
  • Ability to convert broad requests into practical action items.
  • Availability to overlap with Pacific Time business hours.
  • Comfort using Google Calendar, Gmail, Google Docs, Google Sheets, task management tools, and online research resources.

Preferred Experience

  • Background supporting founders, startup professionals, executives, consultants, or busy entrepreneurs.
  • Experience with personal life management, household coordination, apartment search support, vendor research, or concierge-style assistance.
  • Prior work with clients based in the United States.
  • Ability to create comparison tables, recommendation summaries, and organized task trackers.

Ideal Candidate

The best fit is someone who enjoys bringing order to a busy person’s day-to-day life. They should be resourceful, structured, analytical, and comfortable balancing personal and professional priorities. A senior chief-of-staff background is not required, but reliability, initiative, and careful attention to detail are essential.

The client should be able to assign a task such as finding an apartment organizer or sourcing a storage solution with specific features, and receive a well-researched response with options, pros and cons, pricing, availability, and a recommended next step.

Additional Information

Location is remote, with eligibility limited to candidates based in the Philippines, Latin America, or South Africa. The work arrangement is full-time preferred and classified as an independent contractor role.
