Role Overview
Axion is looking for an Executive Assistant & Office Manager to support the executive team and run day-to-day operations at its Williamsburg headquarters in New York. This position combines executive support with broader office administration and requires someone who is proactive, adaptable, and comfortable handling a wide range of tasks. The role contributes to the experience of employees in New York and other locations while helping ensure smooth operations in support of the CEO.
The ideal person brings a strong service mindset, stays organized in a fast-moving environment, and is ready to help wherever needed.
Key Responsibilities
- Plan and maintain the CEO’s calendar, including internal meetings, external meetings, travel, and appointments.
- Work with internal and external contacts to anticipate and resolve scheduling clashes so the CEO’s time is used efficiently.
- Screen the CEO’s emails, calls, and requests, handling them directly when appropriate or routing them to the right person.
- Prepare meeting materials for the CEO, including context, briefing notes, and supporting documents.
- Handle general office upkeep such as preparing meeting rooms, welcoming guests, managing mail, and receiving packages.
- Support equipment ordering and setup for new hires.
- Help coordinate board meetings, customer meetings, and other events as directed by the CEO.
- Arrange travel and accommodation for employees and interview candidates.
- Organize company events, all-hands meetings, team gatherings, and social activities such as happy hours.
- Manage ordering and restocking of office supplies, snacks, and lunches for individuals or teams.
- Carry out administrative work that supports the operations team.
What the Role Requires
- A strong willingness to take on any task and contribute wherever needed.
- At least 2 years of experience supporting a senior executive in an executive assistant or similar capacity.
- Excellent organization and time management skills, with the ability to juggle several priorities and meet deadlines.
- Strong verbal and written communication skills, along with a polished and approachable manner.
- Good interpersonal skills and the ability to work effectively with people from varied backgrounds and cultures.
- High attention to detail, sound judgment, discretion, and a commitment to confidentiality.
- Comfort using Google Workspace and conferencing tools such as Zoom, Microsoft Teams, and Webex.
- A bachelor’s degree in business administration, management, or a related area is preferred.
