About the Role
ServiceNow is seeking a highly proactive and experienced Executive Assistant to support three Vice Presidents. This role requires a minimum of two to three days per week in our Santa Clara, CA office, with flexibility based on business needs. The position involves extensive coordination across multiple time zones, demanding excellent time management and adaptability to support executives working in diverse regions. The ideal candidate is AI-proficient, detail-oriented, and a strong collaborator, comfortable in a fast-paced, high-volume environment where priorities can shift rapidly. Adaptability is key, as executive schedules may occasionally extend beyond standard hours.
Responsibilities
- Manage complex calendars across multiple time zones, prioritizing executive time for maximum impact and resolving conflicts.
- Ensure prompt responses to all communications, prioritizing messages based on urgency and executive needs.
- Meticulously create, maintain, and organize essential documents, presentations, and information for easy access and accuracy.
- Implement a robust system for tracking action items, commitments, and deadlines, ensuring timely completion and escalating issues as necessary.
- Cultivate and maintain strong relationships with internal and external stakeholders, acting as a professional representative for the executives.
- Coordinate all domestic and international travel arrangements, proactively identifying potential risks and optimizing itineraries for efficiency.
- Accurately manage expense reports and budgets, identifying opportunities for process automation and streamlining.
- Leverage AI tools to enhance workflows, analyze data, and support executive decision-making.
- Lead and execute special projects requiring discretion, collaboration, and a results-driven approach.
- Maintain absolute confidentiality regarding sensitive information, exercising sound judgment in information sharing.
- Provide consistent on-site support for immediate needs, in-person meetings, and seamless coordination of office events and catering.
- Offer flexible support to other Executive Assistants during absences or peak periods to ensure uninterrupted organizational support.
