Role Summary

The Executive Assistant will provide senior-level administrative support in a fast-moving environment. This position calls for strong organization, sound judgment, flexibility, and the ability to manage shifting priorities while supporting executive leadership with a high degree of professionalism.

Responsibilities

  • Manage the executive’s Outlook calendar, including scheduling meetings and sending invitations.
  • Deliver high-level administrative support with limited oversight.
  • Arrange domestic travel across multiple time zones, including transportation and hotel bookings, and add travel plans to the calendar.
  • Work independently and adapt quickly when priorities or schedules change.
  • Use judgment to resolve complex issues related to projects, calendars, and meetings.
  • Take initiative to move tasks forward and meet deadlines.
  • Prepare and process expense reports using the Concur expense system.
  • Set up conference calls and meetings, and prepare agendas, summaries, and recaps.
  • Remain flexible in a constantly changing work environment.
  • Collaborate effectively within a participative team setting.
  • Coordinate closely with the Executive Assistant team to ensure information flows smoothly.
  • Serve as a point of contact between the executive and other teams or individuals.
  • Communicate professionally with internal and external stakeholders, including senior and executive-level contacts.
  • Interact with C-suite leaders in a polished and professional manner.
  • Assist with general office duties as needed.

Requirements

  • At least 5 years of experience as an executive assistant.
  • High school diploma is required.
  • Bachelor’s degree is preferred.
  • Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Prior experience with Concur expense reporting is preferred, though not mandatory.
  • Comfortable using technology and learning new tools quickly.
  • Strong time management and prioritization skills.
  • Ability to present information clearly and respond effectively to questions.
  • Excellent communication and professional interaction skills.
  • Ability to handle a changing workload with discretion and independence.

Additional Information

The office environment is business casual. The role requires a customer-service mindset, a sense of urgency, and the ability to prioritize and re-prioritize work as schedules evolve. The selected teammate should be able to operate independently in a fluctuating environment while also contributing to a collaborative team culture.

Compensation

The stated pay range is USD 39.48 per hour to USD 60.10 per hour.
