About the Opportunity

An established private organization with diverse interests in hospitality, philanthropy, investment, and special projects is seeking a seasoned Executive Assistant to provide strategic support to a senior executive. This role is ideal for an individual who excels in dynamic settings and aims to be a key partner in driving organizational priorities. You will be instrumental in managing competing tasks, leading projects from inception to completion, contributing innovative ideas, and serving as a central point of coordination for various initiatives. This position offers significant exposure, autonomy, and professional growth opportunities, particularly for those aspiring to a Chief of Staff-like function.

Your Responsibilities

  • Manage a complex and dynamic calendar, coordinating meetings, travel, and key priorities.
  • Oversee email correspondence, draft communications, and ensure timely prioritization of urgent matters.
  • Take ownership of projects, providing progress updates, tracking deliverables, and ensuring successful completion.
  • Support philanthropic endeavors, stakeholder engagement, research, and community outreach initiatives.
  • Coordinate travel arrangements, events, presentations, and administrative tasks across various responsibilities.
  • Review documents, prepare responses, conduct research, and offer recommendations to aid decision-making.
  • Act as a confidential liaison between executives, internal teams, and external parties.

Skills and Qualifications

  • Possess 4-7 years of progressive experience as an Executive Assistant or in a senior administrative role supporting executives or prominent individuals.
  • Demonstrate exceptional attention to detail and a proven ability to manage multiple priorities concurrently.
  • Exhibit strong project management skills and the capacity to independently advance initiatives.
  • Possess excellent written communication abilities, including drafting correspondence, presentations, and executive-level documents.
  • Showcase discretion in handling confidential and sensitive information.
  • Maintain advanced proficiency in Microsoft Office Suite and digital collaboration tools.
  • Adopt a proactive, resourceful, and solutions-oriented approach with strong interpersonal skills.

Additional Information

Location: Downtown Toronto, ON (Hybrid, requiring 1-2 days per week on-site)

Language: Exceptional written and verbal English communication skills are essential.
