About the Studio

Martin Brûlé Studio (MBS) is an AD100 practice known for interior architecture and design with an international outlook and a deep appreciation for the unexpected beauty found in nature. The studio’s approach draws from history while remaining unrestricted by fixed rules. It operates from New York, Paris, and Montréal.

Role Overview

The Executive Assistant will support the Creative Director and help keep leadership operations running smoothly across scheduling, communication, travel, coordination, and day-to-day studio support.

Executive and Calendar Management

  • Oversee the Creative Director’s calendar, meetings, travel plans, and appointments across several time zones.
  • Spot potential scheduling conflicts early and handle them before they become issues.
  • Arrange internal meetings, client presentations, and site visits.
  • Make sure the Creative Director is fully prepared for meetings and events each day.

Communication and Coordination

  • Serve as a main contact for outside partners, clients, and collaborators.
  • Prepare, edit, and manage written communication in a polished and professional manner.
  • Handle confidential information carefully and maintain strict discretion.
  • Sort, track, and prioritize incoming communication so follow-ups happen on time.

Project and Administrative Support

  • Assist project teams with coordination of logistics, internal deadlines, deliverables, and reporting.
  • Keep both digital and physical records, files, and archives well organized.
  • Monitor important operational and creative milestones to support leadership decisions.
  • Help prepare presentations and client-facing materials.

Travel and Events

  • Organize travel within the country and abroad, including flights, lodging, and on-site arrangements.
  • Build detailed travel itineraries, briefing notes, and contact lists.
  • Support planning for studio events, exhibitions, and client dinners.

Studio Operations Support

  • Act as a link between leadership and other teams to keep communication clear and organized.
  • Track core operational workflows to help the leadership office function efficiently each day.
  • Provide support with budget tracking and vendor coordination when needed.

Qualifications

  • At least 4 years of experience in executive support, ideally within creative fields such as design, architecture, fashion, or art.
  • Strong organizational skills, excellent time management, and a sharp eye for detail.
  • Clear written and verbal communication abilities.
  • Demonstrated discretion when dealing with private or sensitive information.
  • Comfort using Google Workspace or Microsoft Office, with project management software experience considered an advantage.
  • Ability to operate across multiple time zones and adjust to changing priorities.
  • Strong cultural awareness and confidence representing the studio with high-profile clients and collaborators.
  • French language ability is helpful but not mandatory.
