Role overview

The Executive Assistant will provide both day-to-day and higher-level administrative support to senior executives. This position focuses on keeping schedules organized, handling communications, coordinating travel, and helping leaders stay prepared for their priorities and objectives.

The role also acts as an important connection point between executives and internal or external contacts. It requires strong judgment, the ability to stay organized in a fast-moving environment, and a high degree of professionalism and confidentiality.

Key responsibilities

  • Deliver tactical and strategic administrative assistance to upper-level leaders and serve as the most senior administrative support person within the department or division.
  • Manage executive calendars, arrange meetings, appointments, and events, send reminders, reserve meeting spaces, coordinate AV setup, and prepare materials for discussions.
  • Handle incoming calls, capture messages, respond to standard emails on behalf of executives, and sort correspondence by urgency and importance.
  • Organize travel arrangements, including flights, hotels, ground transport, and detailed itineraries.
  • Provide general office support such as copying, faxing, and sending documents by mail.
  • Prepare statistical and analytical reports that support administrative strategy, and help build presentations with insights for executive use.
  • Serve as a main contact for executives when communicating with internal teams and outside stakeholders.
  • Carry out basic research to support reports and projects in coordination with relevant stakeholders.
  • Draft, format, proofread, and edit routine documents, reports, and presentations while ensuring they follow company standards and policies.
  • Coordinate administrative activities within the division while working across teams, departments, and partner companies.

Experience and education

Candidates should have a high school diploma, GED, higher secondary education, or equivalent work experience. The role calls for 6 to 8 years of related experience, ideally in advanced administrative support or office services. Experience supporting senior leaders at director level or above is preferred. Applicants should also be comfortable managing demanding schedules and shifting priorities in a high-pressure setting.

Skills and competencies

Strong organization, time management, communication, attention to detail, discretion, problem-solving ability, adaptability, and a polished executive presence are important for this role. The position also calls for advanced use of Microsoft Office tools, familiarity with collaboration platforms, and experience with calendar, travel, reporting, and presentation tools.

Pay and benefits

The hourly pay range for this role is between $31 and $48 USD, for candidates in the United States only. Compensation may vary based on location, job-related knowledge, skills, and experience.
