About the Role

Avalara is seeking a proactive and organized Executive Assistant to provide comprehensive support to C-suite leadership within the Technology, Product, and Strategy departments. This role is crucial for managing complex schedules, coordinating critical meetings and events, and serving as a key administrative partner. The ideal candidate will be adept at problem-solving, relationship-building, and maintaining structure amidst dynamic priorities. Responsibilities

  • Manage and prioritize complex executive calendars, ensuring efficient scheduling and communication flow.
  • Orchestrate leadership meetings, offsite events, and other executive engagements from initial planning to successful execution.
  • Prepare executives for meetings by coordinating agendas, compiling necessary materials, and managing logistical details, including follow-up actions.
  • Cultivate strong, trusted relationships across the organization, acting as a primary point of contact for executive team members.
  • Facilitate executive priorities through effective presentation support, expense management, and other administrative tasks.
  • Assist with special projects by coordinating stakeholders, managing timelines, and tracking action items.
  • Collaborate with Chief of Staff to support executive operating rhythms, such as staff meetings, leadership reviews, and strategic planning processes.
  • Develop a thorough understanding of Avalara's technology, AI automation, product offerings, and strategic objectives to identify opportunities for process improvement and enhanced team effectiveness.

Requirements

  • A minimum of 5 years of professional experience providing support to senior leaders or executives.
  • Proven experience in managing executive calendars, coordinating travel arrangements, and organizing meetings.
  • Exceptional organizational skills with the ability to collaborate effectively across all organizational levels.
  • Demonstrated experience in handling confidential information with discretion.
  • Experience in coordinating meetings, events, offsite gatherings, or other executive engagements.
  • Previous experience supporting leaders in technology, product, engineering, strategy, or related business functions is highly desirable.
  • Experience in project coordination is essential.
  • Familiarity with working within a SaaS company environment is preferred.
  • A strong sense of curiosity and a commitment to learning about AI technical concepts, product development lifecycles, and business strategy.
  • Ability to anticipate potential challenges and proactively address issues before they impact executive priorities.
  • Capacity to operate independently, take initiative, and make sound, informed decisions.
  • Genuine interest in Avalara's products, technology, customer base, and overall business operations.
  • A knack for identifying opportunities to streamline processes, boost efficiency, and improve overall team effectiveness.
  • Experience utilizing AI and AI-related technologies, with a readiness to apply them in a business context.
  • Willingness to apply AI daily to business challenges, aiming to enhance efficiency and contribute solutions.
  • A commitment to continuous learning about AI trends and best practices, and a willingness to share knowledge.

Pay and Perks

The annual base pay range for this position varies by location: Colorado ($88,000 - $140,800), Washington ($88,000 - $155,700), California ($88,000 - $155,700), and NYC ($88,000 - $155,700). Actual salary will be determined by factors such as geographic location, candidate experience, qualifications, and market conditions. This role is eligible for an annual bonus based on individual and company performance.
