Role summary
This is a full-time, on-site position in Navi Mumbai for an Executive Assistant. The role supports senior leadership with day-to-day administration and coordination, including calendar planning, meeting scheduling, travel arrangements, and correspondence management. The position also involves preparing documents, presentations, and reports, maintaining organized records and filing systems, and handling expense-related tasks and reimbursement tracking. The incumbent will coordinate across internal and external stakeholders, ensure follow-ups are completed on time, and manage confidential information with a high level of professionalism.
Key responsibilities
The Executive Assistant will act as a dependable support partner for executives and help keep operations organized and moving efficiently.
- Manage executive calendars, organize meetings, and align schedules across multiple stakeholders.
- Arrange business travel and related logistics.
- Draft, organize, and maintain correspondence, documents, presentations, and reports.
- Keep records, files, and documentation systems accurate and up to date.
- Prepare expense statements, monitor reimbursements, and assist with basic budget coordination.
- Support internal and external meeting coordination and follow through on action items.
- Communicate professionally with teams, partners, and other stakeholders.
- Handle sensitive information with discretion and a strong sense of accountability.
Required qualifications
- Proven ability in executive administrative support, including diary management, scheduling, and stakeholder communication.
- Practical experience with administrative tasks such as filing, documentation, record management, and office coordination.
- Comfort with expense reporting, reimbursement tracking, and assisting with simple finance or budgeting activities.
- Strong written and verbal communication skills.
- Working knowledge of productivity platforms such as MS Office or Google Workspace, along with scheduling and coordination tools.
- Excellent organization, attention to detail, and multitasking ability in a busy environment.
- Professional judgment and the ability to handle confidential matters responsibly.
- A bachelor’s degree in Business Administration, Management, or a similar discipline, or equivalent hands-on experience.
- Experience supporting senior leaders in fintech, financial services, or technology will be considered an advantage.
