This role is for an Executive Assistant supporting the Chief Marketing Officer and the Global Head of Communications from the London office. The position is an important part of the Business Operations and Support Services team, helping senior leaders stay organised, prepared, and effective while also supporting wider marketing and communications activity.
What the Role Involves
You will take ownership of day-to-day coordination for senior leaders, covering diary management, meeting preparation, logistics, and follow-through on actions. The role also includes ad hoc support to the broader leadership group and helping keep team operations running smoothly.
Key Responsibilities
- Handle complex calendars across several time zones and manage inboxes proactively so executive time is used efficiently.
- Prepare leadership meetings by organising agendas, confirming attendees, and circulating briefing notes or pre-reads ahead of time.
- Record decisions and action points from meetings, monitor progress on tasks, and follow up to make sure commitments are completed.
- Keep track of priorities and stakeholder deliverables while protecting time for the most important strategic work.
- Arrange detailed international travel, including visas, itineraries, and local transport.
- Process expenses and invoices in line with company policy and support budget tracking with Finance business partners.
- Look for ways to improve everyday workflows and independently implement more efficient ways of working.
- Administer Workday tasks and handle approvals or sign-offs for stakeholders with discretion.
- Plan and deliver leadership offsites, Mission Days, and team socials, including venue selection, supplier coordination, and content support.
- Contribute positively to workplace culture and help support the team through AI-enabled ways of working and broader transformation.
What We’re Looking For
The ideal candidate has experience as a Personal Assistant or Executive Assistant, preferably in a fast-scaling global organisation. You should be confident managing senior leaders’ calendars and logistics, and have practical experience with expenses and budgets. Exposure to marketing or public relations coordination would be beneficial.
Strong organisational skills, a proactive mindset, and the ability to juggle multiple workstreams are essential. You should communicate clearly with people at all levels, stay calm under pressure, and spot issues before they become problems. Comfort using Google Workspace and Slack is important, along with a willingness to adopt AI tools to improve productivity. High discretion, integrity, and a collaborative approach are also key.
