About the role

EY is seeking an Executive Assistant to support senior leaders in a collaborative, globally connected environment. The role is suited to someone with strong business communication skills who can build effective working relationships with key stakeholders while handling a broad range of administrative and coordination tasks with confidence and autonomy.

Key responsibilities

  • Manage the diaries of 2 to 3 Partners and coordinate their schedules carefully.
  • Use judgment to plan meetings, including deciding on the objective, appropriate duration, and suitable time zones for international virtual sessions.
  • Arrange internal and external meetings, conference calls, sametime meetings, and video conferences.
  • Oversee inboxes by filtering emails and responding or taking action where needed.
  • Serve as a helpful resource for Lotus Notes administration and firm-issued technology devices.
  • Provide email support for other clients when required, such as during short absences or busy periods.
  • Draft a clear action list and route issues to the right team member when appropriate.
  • Prepare expense claims in line with Accounts Payable deadlines to avoid late charges.
  • Complete timesheets weekly for yourself and/or the department and ensure submission deadlines are met.
  • Book and coordinate travel in line with firm policy, securing approvals before arrangements are made.
  • Create detailed travel itineraries, including multi-leg journeys, and record travel costs as required.
  • Support passport and visa research and related arrangements.
  • Help organize client visits and events as needed.
  • Build and maintain relationships with internal and external clients and their executive assistants.
  • Make sure marketing materials and information are available when needed.
  • Maintain and update client mailing lists using CRM tools.
  • Research and track information about clients and markets using Factiva.
  • Share market information with PEDD and engagement teams when requested.
  • Prepare, revise, and format correspondence and documents such as letters, faxes, memos, PowerPoint decks, reports, and proposals using EY templates and brand standards.
  • Draft communications for the service line.
  • Support the team with the preparation and execution of meeting materials.
  • Handle meeting and roundtable administration, including invitations, document collection, agenda planning, attendance tracking, distribution of pre-reading, and minute-taking.
  • Act as the contact point for pursuit documents.
  • Maintain both physical and electronic filing systems in line with records management best practices.
  • Own phone enquiries and redirect callers to the right team member where needed.
  • Set up logistics for new Partners and new starters, including phone and desk arrangements, stationery, and filing guidance.
  • Order business cards, supplies, gifts, and flowers when appropriate.
  • Take initiative in personal development by meeting regularly with a counsellor to discuss goals and work progress.
  • Work closely with other EAs within the team and across the wider EY network.
  • Prepare payment requisition forms using the Payment Requisition Database and obtain required approvals.
  • Coordinate or manage small projects while finding practical and cost-effective solutions.
  • Apply firm and service line quality, risk, and confidentiality standards and help reinforce them with others.
  • Keep clients informed proactively on the progress of administrative matters.
  • Review and support the work of junior or less experienced EAs.

Requirements

  • A minimum Diploma or Private Secretarial Certificate is required.
  • You should bring 5 to 6 years of relevant experience.
  • Strong skills in MS Office applications are necessary.
  • You need a good command of both written and spoken English.
  • Excellent interpersonal and communication abilities are expected.
  • You must be able to juggle multiple tasks, work independently, and stay effective under pressure.
  • Strong organization skills and a collaborative mindset are important.
  • You should be detail-oriented and able to take initiative.
