Position Overview
We are seeking a highly organized, proactive, and resourceful Executive Assistant to support a dynamic executive in the talent management and hospitality space. This role is ideal for someone who thrives in a fast-paced, creative environment and can seamlessly manage both administrative responsibilities and talent-related coordination. The Executive Assistant will act as a key partner, helping to manage day-to-day operations, communications, scheduling, and talent logistics. Discretion, attention to detail, and strong interpersonal skills are essential.
Key Responsibilities
- Manage complex calendars, scheduling meetings, calls, travel, and events across multiple time zones.
- Coordinate domestic and international travel, including itineraries, accommodations, and reservations.
- Serve as a liaison between the executive and talent, brands, partners, and internal stakeholders.
- Assist with talent management logistics, including bookings, contracts, deliverables tracking, and timelines.
- Support coordination of brand partnerships, appearances, events, and media opportunities.
- Handle email and communication management, including drafting responses and prioritizing correspondence.
- Maintain organized records of talent engagements, contracts, and key documents.
- Track invoices, expenses, and basic budgeting related to talent and projects.
- Assist with special projects, research, and ad hoc tasks as needed.
- Ensure the executive is prepared for meetings, events, and appearances by providing briefing materials and agendas.
Qualifications
- A minimum of 2 years of experience as an Executive Assistant or in a comparable support role, ideally within talent management, media, hospitality, or entertainment sectors.
- Exceptional organizational and time management capabilities, with a proven ability to prioritize tasks effectively.
- Excellent written and verbal communication abilities.
- A high degree of discretion and professionalism in handling sensitive information.
- Demonstrated experience in coordinating travel arrangements and managing intricate schedules.
- Meticulous attention to detail and a strong capacity for follow-through on commitments.
- Comfort and adaptability in a dynamic, fast-paced work environment.
Preferred Experience
- Prior exposure to talent management, influencer relations, or brand partnerships is advantageous.
- A genuine interest or background in the culinary, food & beverage, wine, or hospitality industries is a plus.
- Experience supporting a public-facing executive or personality is beneficial.
Additional Information
This position offers a pay rate of $23 per hour, with overtime compensated at time and a half. Eligibility for a bonus is included. The role operates on a hybrid schedule, requiring 3 days in the office and 2 days of remote work. Business travel may occasionally be necessary.
