Role overview
This opportunity is for an Executive Assistant supporting four executives in a highly collaborative environment. The organization values a service-first approach, strong initiative, and someone who can juggle multiple priorities while keeping work organized and accurate.
The position is based in the Greater Toronto Area, with the office located downtown Toronto, less than a 5-minute walk from Union Station. The role requires working onsite in the office typically 2 days per week.
Compensation and benefits
The salary range for this role is CAD 70,000 to CAD 75,000 annually. The package also includes full and extensive benefits, 3 weeks of vacation, personal days, and a strong pension plan.
Key responsibilities
- Manage executive calendars by organizing, rescheduling, and prioritizing internal and external meetings and appointments.
- Coordinate travel arrangements such as flights, hotels, and car service, and prepare detailed travel itineraries.
- Handle day-to-day administrative support, including correspondence, email management, documentation, and boardroom bookings.
- Prepare and refine written correspondence as needed.
- Support event planning and coordination.
- Track, review, and reconcile expenses.
- Take on special assignments and other ad hoc tasks as required.
Candidate profile
The ideal candidate brings 2 to 4+ years of experience as an Executive Assistant, preferably supporting 2 to 3 busy executives. Experience in a service-oriented setting is important, along with excellent organization, time management, and the ability to handle competing demands throughout the day.
This role also calls for someone who can manage confidential information carefully, works well with others, and maintains a high level of accuracy and professionalism. Proficiency in Microsoft Office tools, especially Word, Excel, PowerPoint, and Outlook, is needed. The client is looking for someone who is collaborative, dependable, detail-focused, and open to learning new approaches and contributing ideas.
