Role Overview

This full-time, on-site position in Toronto, Ontario is responsible for serving as a primary contact for clients and ensuring each interaction feels welcoming, efficient, and professional. The role is focused on developing trusted relationships, understanding client expectations, and resolving concerns quickly and appropriately.

Key Duties

In this role, you will handle front-desk and client-facing communication, coordinate with internal teams to support client needs, keep records accurate and up to date, and track service and retention performance. You will also help onboard new clients, collect and document feedback, support scheduling and day-to-day operations, and identify ways to improve the overall client journey and retention.

Qualifications

  • You should bring a polished, empathetic, client-first approach and be skilled at building lasting relationships.
  • Experience in reception, customer success, client service, or a similar client-facing role is required.
  • Strong spoken and written communication skills are needed, along with active listening and the ability to respond clearly to client concerns.
  • Experience in a multidisciplinary health and wellness clinic is highly desirable.
  • You should be comfortable using Jane or another comparable practice management, CRM, or client management platform.
  • Excellent organization and close attention to detail are essential, along with reliable follow-through.
  • The role requires the ability to monitor and improve client experience, retention, and service-related metrics.
  • You must be able to juggle multiple priorities in a busy environment while maintaining a high standard of service.
  • Experience working with cross-functional teams to coordinate support and resolve issues is important.
  • Background in healthcare, health technology, or related services is considered an advantage.
  • A bachelor’s degree in business, health administration, communications, or a related area is preferred, though equivalent practical experience will also be considered.

Compensation

The annual salary range is CAD 60,000 to CAD 75,000, and performance-based incentives are also offered.
