Job Summary

The Assistant Project Manager (APM) will manage and coordinate low to medium complexity projects, providing comprehensive support to clients. This role involves leading internal teams and vendor partners, ensuring clear communication with all stakeholders, including clients, team members, and vendors, to align everyone towards common project goals. The ideal candidate will exhibit exceptional customer service, teamwork, and meticulous attention to detail to guarantee client satisfaction. The APM must be adept at managing conflict professionally while maintaining focus on project objectives. This position requires strong project management acumen, a forward-thinking and creative mindset, a sense of urgency, and the ability to prioritize effectively to manage client, project, and company activities efficiently.

Key Responsibilities

  • Execute low to medium complexity projects across various service lines, and support Project Managers on more complex initiatives.
  • Develop and manage project scope, timelines, and budgets.
  • Oversee all aspects of project management, including design, procurement, quality control, risk management, and vendor performance.
  • Provide prompt and measurable responses to client inquiries, requests, and concerns.
  • Communicate directly with clients to establish project objectives and deliver status reports, highlighting any variances.
  • Identify necessary project resources, manage the request for proposal process, and conduct bid analyses for approval.
  • Coordinate project teams comprising key stakeholders, internal staff, and vendor partners to ensure project deliverables are met.
  • Conduct pre- and post-project site inspections with vendors and clients.
  • Demonstrate a thorough understanding of project documentation, including agreements, contracts, drawings, client requests, vendor proposals, and technical documents.
  • Perform on-site field audits at various project stages.
  • Maintain comprehensive knowledge of vendor capabilities, processes, and service offerings.
  • Manage project administrative processes and ensure timely and accurate filing of project documentation.
  • Facilitate project meetings, ensuring accurate documentation and distribution of meeting minutes.
  • Track and manage project issues and their resolutions.
  • Actively support business development initiatives within the internal team.
  • Represent the company through excellent project delivery, client service, process improvements, and support.

Qualifications

  • A Bachelor's degree (BA/BS/BEng/BArch) is preferred but not mandatory.
  • A minimum of four to five years of relevant experience in project management, real estate, facilities management, or project coordination is required.
  • Proficiency in MS Office Suite, MS Project, MS Visio, and other data management software is essential.
  • Excellent verbal and written communication skills are necessary for daily interactions with clients and team members.
  • Strong organizational, time management, attention to detail, and prioritization skills are crucial, even under heavy workloads.
  • Ability to accurately review and interpret design plans and documents.
  • Capacity to exchange information effectively at various levels and build consensus for decision-making.

Physical Requirements

  • The role requires movement within and between client buildings for over 50% of the workday.
  • Availability for evening and weekend work may be necessary based on project deadlines.
  • The ability to occasionally lift up to 25 pounds is required.
  • Willingness to travel as needed for projects within North America.
