Role overview
Cambridge Spark is looking for an Admissions Coordinator to join its Operations function. In this position, you will help keep the admissions and onboarding journey running smoothly for learners and customers, from the first point of contact through to programme completion. The role is home-based in the UK, with occasional travel to the London office.
You will work closely with internal teams to keep processes efficient, accurate, and compliant with apprenticeship rules. The main emphasis is on admissions and onboarding, including funding checks and managing the admissions pipeline. You will also be trained across other areas of Operations so you can step in where support is needed.
Key responsibilities
- Review apprenticeship applications to confirm learners satisfy the funding and programme eligibility rules.
- Take ownership of the admissions pipeline in HubSpot, ensuring signatures are completed, statuses are kept up to date, and records remain accurate.
- Handle day-to-day communication with your assigned applicants to provide a smooth, high-quality onboarding experience.
- Coordinate first-day-in-learning and off-the-job training submissions at the start of delivery, and keep daily track of newly submitted documents.
- Upload BKSB assessment data and PICS student management reports into HubSpot so learner readiness can be monitored.
- Monitor admissions queries in Slack, keep stakeholders informed, and support wider operations work during busy periods.
Candidate profile
The ideal candidate will be highly organised, detail-driven, comfortable juggling multiple tasks, and confident communicating with learners and colleagues. You should be comfortable using CRM or operational systems, enjoy working in a collaborative environment, and bring a proactive mindset focused on improving processes.
Essential experience and capabilities
- Strong attention to detail when checking documents against detailed eligibility and compliance requirements.
- Proven ability to manage busy task queues or case loads while prioritising effectively in a fast-moving setting.
- Excellent written and verbal communication skills for supporting applicants and providing clear updates.
- Confidence using CRM tools such as HubSpot, or similar systems, to manage pipelines, update records, and load reports.
- A collaborative approach, with a sense of ownership and willingness to learn broader operations responsibilities.
- A continuous-improvement mindset and the ability to suggest practical ways of working better.
Desirable experience
- Experience working in apprenticeships or another regulated environment, especially in an admissions-related role.
- Practical experience using HubSpot for pipeline management, status updates, or workflow building.
- Familiarity with diagnostic or onboarding tools such as BKSB and student systems such as PICS.
Working pattern and location
This is a 37.5-hour per week role based in the UK. The post is home-based, with occasional travel to the London office.

Pay is dependent on experience.
