Role overview
This full-time temporary clinic-based opportunity is located at TELUS Health Care Centre in Toronto and is expected to run until August 2027. Reporting to the Clinic Manager, the role focuses on administrative and clerical support in a busy medical office environment.

The clinic is seeking a service-oriented person who enjoys working in a collaborative, friendly, and supportive setting. This position is part of one of Canada’s largest Care Centre networks and contributes to the way patients interact with the healthcare system.
Key duties
- Welcome patients, manage intake, and handle incoming calls by answering and directing them appropriately.
- Book appointments for patients and help maintain smooth daily scheduling.
- Support the medical office and clinical team with day-to-day administrative needs so the clinic runs efficiently.
- Coordinate with physicians, nursing, chart preparation, customer service, transcription, reception, and flow teams to support patient movement and work processes.
- Help manage administrative processes for special client accounts in partnership with the medical office team.
- Keep up to date on products and services relevant to the role.
- Maintain confidential electronic and paper-based medical records, including filing, retrieval, transfer, and related systems or formats.
- Respond quickly and professionally to questions or concerns from clients, staff, and physicians.
- Follow confidentiality requirements and departmental procedures at all times.
- Notice workflow or process gaps, document them, and escalate concerns to management.
- Suggest practical improvements that can reduce barriers and improve office operations.
- Track monthly inventory, check office supplies, and keep the supply room organized.
- Help coordinate guest flow in the clinic with the Flow Coordinator and other team members, including physicians.
- Support special projects and quality assurance activities as needed.
- Take on other clerical or cross-functional tasks assigned by the team.
Qualifications and experience
- High school completion is required, along with 1 to 3 years of relevant experience in a fast-moving, customer-focused environment.
- Prior medical office administration experience of 1 to 3 years is required.
- Strong verbal and written communication skills are needed.
- Excellent attention to detail and a solid work ethic are expected.
- Comfort using computers and the Microsoft Office suite is important.
- Strong organization, time management, prioritization, and multitasking abilities are required.
- Ability to work independently, use good judgment, and take initiative.
- A proactive and resourceful approach to problem-solving is essential.
- Applicants should enjoy working in a team and delivering a positive guest experience.
- A positive, energetic, and outgoing personality is preferred.
- Ability to resolve issues and handle guest concerns effectively is important.
- Customer service background is an advantage.
- Reception experience is an advantage.
- Background in Health Studies is an advantage.
- Experience with medical transcription is an advantage.
