Role overview
Crown Equipment is looking for a proactive and well-organised Administration Manager to support the smooth running of the branch. This position plays a key part in keeping daily operations on track while assisting teams across service, sales, and rentals.
The role calls for strong communication and planning skills to handle office administration, manage documentation, and support customer enquiries in a way that helps the branch operate efficiently and successfully.
Key responsibilities
- Deliver prompt, professional assistance to both internal teams and external customers, including responding to enquiries and calls while maintaining effective business support.
- Guide and support the Administration Team to maintain high service standards, strong operational performance, and a cooperative, customer-first workplace culture.
- Check customer orders for new and used lift trucks, confirm that all sales information has been completed correctly, maintain the order intake spreadsheet, and coordinate with Head Office when needed.
- Organise the transfer, preparation, and paperwork for trucks and equipment, including support for stocktakes, relocations, workshop tasks, and unit status updates.
- Track service standards, productivity, and KPIs to support ongoing improvement.
- Maintain accurate records and ensure work is carried out in line with company policies and legal obligations.
- Provide day-to-day backup assistance to administration staff as required.
- Offer ongoing administrative support to the Sales, Rentals, and Service teams at the branch.
- Keep service and operational information accurate, including job cards, quotes, costing, purchase orders, invoices, and customer details in CRM systems.
- Support continuous improvement by working with the team to enhance systems and processes.
- Prepare and process End of Month accruals and journals.
- Assist with inventory control and stocktake activities.
Experience and skills required
- Prior experience in an administrative position, ideally within a similar industry.
- Previous exposure to leading administration or operational support teams is preferred.
- Strong organisational ability and careful attention to detail.
- Excellent spoken and written communication skills.
- Ability to juggle multiple tasks and meet deadlines effectively.
- Comfort using Microsoft Office and working with CRM platforms.
- A customer-focused mindset and the ability to work both independently and as part of a team.
