Job Purpose

This role represents the first contact of our members and visitors to KOFISI, with main focus on the value, Open with Optimism. The receptionist’s responsibilities generally include receiving visitors, in person or indirectly by communicating with them on a phone call answering, taking and relaying messages. Maintaining our client records and administrative tasks are part of the job deliverables.

Overall Duties And Responsibilities

  • Ensure that our client experience the company value “OPEN WITH OPTIMISM” in delivering superior friendly service
  • Manage the meet and greet of all incoming visitors
  • Provide support for day one experience at all times
  • Facilitate resolution of all visitors’ and members’ parking requirements
  • Professional call answering, including correct calls transfer, message taking and follow up
  • Ensure COVID policy is executed and adhered to at all times
  • Collaborate with centre team to adhere to standard operating procedures
  • Ensure the opening and closing procedure is followed whenever on duty for the same
  • Upload and maintain clients’ information on Office RnD as required
  • Take and maintain accurate records of bookings and use of meeting room facilities
  • Ensure all billable services provided to the client have been accurately recorded and billed for
  • Actively follow up to ensure all FM tickets raised are resolved in a timely manner where possible
  • Provide service at any scheduled community/ networking events as front of house
  • Serving as a host and ensuring all relevant set up preparations are done on time
  • Organizing transport services for guests and members as may be required

Requirements

  • Qualification & skills
  • Fluency in English, French & Arabic languages is an added advantage
  • Good written and oral communication skills
  • Athletic – highly energetic and chatty in a professional manner
  • Well presented –presentable appearance, pleasant, maintains eye contact engagement and approachable
  • Strong time management skills
  • Basic analytical skills
  • Strong attention to detail
  • Experience
  • 3 years’ experience in the front office
