Role Overview
The Operations Coordinator will help keep VentureOne’s everyday business activities running smoothly across the company and its portfolio ventures. This position works across teams and with outside partners to manage office support, workplace needs, employee assistance, vendor coordination, technology administration, and internal events.
The role is highly practical and suited to someone who is structured, solution-oriented, and able to juggle several operational tasks in a busy environment. You will serve as a dependable contact for administrative and operational matters, support efficient ways of working, and contribute to a stronger and more scalable operating setup.
Core Responsibilities
- Oversee day-to-day office coordination, workplace support, and facility-related requirements.
- Arrange office access, seating, workstation setup, furniture needs, and related employee requests.
- Assist with logistics for employees, guests, meetings, and general business activities.
- Support office relocations, workspace planning, and facility improvement projects.
- Handle facility-related coordination needs across the company’s ventures.
- Assist with the administration of software tools, subscriptions, and licensing matters.
- Manage onboarding and offboarding coordination for systems, tools, and user access.
- Track active subscriptions and help identify efficiencies and cost-saving opportunities.
- Follow up with IT teams and service providers on hardware, software, and access issues.
- Support employee experience, wellbeing, and engagement initiatives.
- Maintain trackers, follow-up logs, and coordination documents for operational activities.
- Work with vendors and internal teams on employee-related processes.
- Provide administrative assistance to HR, procurement, marketing, and shared services functions as needed.
- Support planning and delivery of internal events, meetings, team activities, and annual company events.
- Coordinate event setup, materials, vendors, attendees, and post-event follow-up.
- Maintain internal mailing lists and help ensure employee communications are updated accurately.
- Assist in preparing operational materials, templates, and branded items for VentureOne and its ventures.
- Support procurement administration, including purchase request coordination and process follow-ups.
- Help manage vendor coordination, documentation, invoice follow-up, and operational requests.
- Track requests through completion and ensure timely progress and closure.
- Look for ways to simplify repetitive administrative work and improve operational efficiency.
- Help create straightforward processes, trackers, and working methods that improve team coordination.
- Contribute to building a more organized and scalable operating environment as the business expands.
Required Experience and Qualifications
- At least 7 years of experience in operations, administration, office management, facilities coordination, shared services, or a similar position.
- Strong ability to organize work and handle several priorities at the same time.
- Experience working with internal stakeholders, vendors, and external service providers.
- Excellent attention to detail and a strong sense of ownership and follow-through.
- Ability to work independently and complete tasks from initiation through delivery.
- Clear written and verbal communication skills.
- Working knowledge of Microsoft Office tools, especially Outlook, Excel, and PowerPoint.
Preferred Experience
- Background in a fast-moving or scaling organization.
- Exposure to HR administration, procurement, IT administration, facilities, or employee experience work.
- Experience supporting office moves, internal events, or cross-functional operational projects.
- Comfort with spotting process improvements and helping implement more efficient workflows.
