Role Summary
This position supports the Chief Product Technology Officer at a senior level, helping keep priorities moving efficiently through strong administrative and operational coordination. The role also serves as the main point of contact for the San Mateo office, making sure the workplace remains organized, efficient, and welcoming for employees and visitors.
Key Responsibilities
- Run the CPTO’s demanding calendar, scheduling flow, and meeting commitments with precision.
- Arrange U.S. and international travel, itineraries, and related expense submissions.
- Build meeting agendas, assemble presentation materials, and monitor action items through completion.
- Screen and route communications, acting as a dependable representative for the CPTO.
- Protect sensitive information with a high level of professionalism and confidentiality.
- Look ahead to executive needs and resolve calendar or operational conflicts before they escalate.
- Manage the everyday functioning of the San Mateo office so it stays organized, efficient, and employee-friendly.
- Handle vendors, supply ordering, facility-related requests, and workplace service needs.
- Set up onsite meetings, executive office visits, team gatherings, and broader office coordination.
- Work with IT, Facilities, People Operations, and Finance to support onboarding, equipment setup, workspace planning, and employee experience projects.
- Find ways to streamline office workflows and introduce better workplace processes.
- Assist with special projects and operational work across the Product & Technology organization.
Candidate Profile
- 4–6 years of experience supporting senior leaders, ideally in a fast-moving technology setting.
- Proven background handling complex calendars, travel planning, and executive logistics.
- Experience with office operations, workplace services, or facilities coordination.
- Strong planning, prioritization, and time-management abilities across multiple demands.
- Excellent verbal and written communication skills.
- High discretion and professionalism when working with confidential matters.
- Comfort taking initiative, solving issues early, and working with limited oversight.
- Familiarity with modern productivity and collaboration software.
Compensation and Benefits
The target total compensation is $120,750 to $149,500, which includes a fixed annual base salary of $105,000 to $130,000, an employee equity grant, an annual bonus, and a full benefits package. Equity awards are provided in good faith and remain subject to company policies, board approval, and each person’s eligibility.
