Role Summary
The company is seeking a highly organized, proactive, and collaborative Executive Assistant to support 5 to 7 senior partners remotely. The core focus of the role is calendar coordination, travel arrangements, and expense reporting, along with a broad range of administrative and project support tasks.
Key Responsibilities
- Oversee partner calendars in a proactive way, setting meetings and resolving scheduling conflicts while considering client needs, ongoing priorities, and day-to-day business demands.
- Arrange and coordinate travel for assigned partners, who generally travel to several U.S. cities each week.
- Prepare, review, and submit monthly expense reports.
- Provide time-reporting support when required.
- Maintain client contact details in the Salesforce CRM system as needed.
- Draft, manage, and send correspondence such as emails and holiday cards.
- Type and proofread documents including engagement letters and reports when requested.
- Occasionally coordinate office meetings, including catering and conference room bookings.
- Support administrative needs tied to business development, internal meetings, industry events, and related activities.
- Handle special assignments and other administrative work that supports firm goals.
Requirements
- 3–5 years of experience supporting executives in a professional services setting such as consulting, legal, or financial services.
- A bachelor’s degree is preferred.
- Strong organizational ability with proven skill in juggling multiple priorities in a fast-moving environment.
- Excellent spoken and written communication.
- High responsiveness and a strong service mindset, with willingness to go beyond the expected.
- Sharp attention to detail.
- Ability to identify issues and solve them independently with minimal direction.
- Good judgment and a mature, professional approach.
- Strong team orientation and the ability to contribute positively to a collaborative workplace.
- Comfort and proficiency with Microsoft Outlook and Word.
- Preferred familiarity with Salesforce, HubSpot, Microsoft Teams, and Zoom.
- Event coordination experience is an advantage.
- Willingness to travel occasionally, roughly 1–2 days per quarter.
Compensation and Benefits
The annual salary range for this position is $68,000 to $90,000. The role may also qualify for an annual discretionary bonus. Compensation is influenced by a combination of factors, including skills, experience, training, licensure and certifications, practice area, and broader business needs.
