About the Role

The Care Operations Associate serves as the operational center of member activation, ensuring every administrative step between enrollment and treatment is completed quickly and accurately. This person builds and manages the back-office workflows that allow Care Guides and the clinical team to stay focused on member care, while also improving the systems behind the work.

This position acts as a key connection point among provider offices, payers, pharmacy partners, staffing agencies, and the internal clinical team. It reports to the Head of Member Ops. & Strategy and suits someone highly structured, process-oriented, and comfortable turning messy work into repeatable systems.

Core Responsibilities

  • Verify benefits and eligibility to confirm coverage, member cost share, and any prior authorization requirements before treatment begins.
  • Maintain up-to-date eligibility records for every active member in internal systems.
  • Manage medical prior authorization requests, renewals, and extensions across payers and specialty pharmacy partners from start to finish.
  • Prepare and submit prior authorization paperwork, monitor approval progress, and escalate delayed or denied cases before care is impacted.
  • Track down missing signatures, documents, and orders by proactively following up with provider offices to keep cases moving.
  • Receive referrals, faxes, and clinical paperwork, then route each item to the appropriate team or workflow.
  • Coordinate clinical staffing with staffing agencies so qualified providers are ready for each member’s treatment.
  • Coordinate medication shipping with pharmacy partners so the correct therapy arrives on schedule.
  • Handle inbound calls from providers, pharmacy partners, and sometimes members, triaging each inquiry and routing it to the right teammate.
  • Record call details accurately and complete any follow-up action items.
  • Represent Leap professionally and with a strong service mindset on every call.
  • Collect, organize, and store member records and clinical documents accurately and on time.
  • Ensure all files comply with internal standards and HIPAA requirements.
  • Help design, document, and continuously improve workflows so manual tasks become scalable, repeatable processes.

Requirements

  • At least 2 years of experience in healthcare administration or operations, with exposure to prior authorization or eligibility verification.
  • Working knowledge of payer portals, prior authorization workflows, and appeal or follow-up processes.
  • Hands-on experience using CRM or EHR platforms, document management tools, and fax-based workflows.
  • Demonstrated ability to manage a high volume of detailed tasks without missing important steps.
  • Comfort working across provider offices, payers, pharmacy partners, staffing agencies, and internal teams.
  • Strong organization and communication skills, plus the ability to work independently during CST business hours in a fully remote setup.
