About Tatcha

Tatcha is a skincare brand inspired by traditional Japanese wisdom, offering effective yet gentle formulas that combine Japanese botanicals with clinical ingredients. Our approach is guided by the Japanese philosophy of 'skin-mind same root,' recognizing the profound link between skin and the brain. With a mission to nurture individuals through their skin, Tatcha adopts a holistic perspective in product development, focusing on skincare rituals that benefit both the skin and mind, and highlighting the significance of mindfulness in skin health.

Job Summary

At Tatcha, our team is central to our success. We strive to make the employee experience as thoughtful and intentional as our products. We are seeking a Workplace Experience Coordinator to be the welcoming face of our San Francisco office and a brand ambassador for our employees daily. This role will embody our brand within our physical space, foster connections among employees, and enhance our shared moments. The position requires office presence on Tuesdays and Wednesdays from 8:30 am to 5:00 pm, with occasional needs for additional days to support events or meetings.

Key Responsibilities

Office Operations & Facilities

  • Act as the primary contact for all visitors and guests, ensuring a welcoming and on-brand front-of-house experience.
  • Manage daily office operations, including visitor coordination, conference room bookings, and reception duties.
  • Support vendor relations and liaise with building management and facilities as needed.
  • Maintain an up-to-date office seating plan and report any necessary changes for new hires.
  • Ensure the office environment is consistently organized, well-stocked, and reflects the Tatcha aesthetic.
  • Procure office supplies, snacks, beverages, and other consumables for all office locations.
  • Assist with the employee lunch program, including managing vendor communications and day-of coordination.

Employee Experience & Culture

  • Contribute to the execution of the annual employee engagement calendar, organizing in-person and virtual events that bring the Tatcha brand to life for the team.
  • Support the planning and execution of internal events such as seasonal celebrations, brand heritage events, wellness activities, team-building exercises, employee product launches, and all-hands meetings.
  • Coordinate logistics for programs that include remote employees, ensuring they feel connected to Tatcha's culture.
  • Aid in the onboarding of new employees by preparing workstations, arranging welcome experiences, and serving as a friendly and informative initial contact.

Communications & Brand Stewardship

  • Assist in drafting internal communications regarding office updates, events, and employee programs, maintaining Tatcha's warm and intentional brand voice.
  • Provide on-site support for All-Hands meetings, both in-person and virtually.
  • Serve as a culture champion, embodying and reinforcing company values through interactions and the curation of the office environment and events.

Who You Are

You are organized, enthusiastic, and find genuine satisfaction in creating experiences that make people feel valued and supported. You are comfortable managing vendor invoices as well as arranging welcome displays. You are proactive, pay close attention to detail, and understand that a well-maintained and aesthetically pleasing environment requires deliberate effort. You can effectively combine the warmth of a host, the efficiency of an office operations professional, and the creativity of an internal events planner.

  • Demonstrate the ability to create a welcoming atmosphere for guests and visitors with a professional and friendly demeanor.
  • Possess strong attention to detail and the capacity to manage multiple tasks and deadlines with managerial support.
  • Exhibit organizational skills to maintain physical spaces, manage inventory, and support daily office operations.
  • Communicate clearly and professionally in both written and verbal forms.
  • Adopt a proactive, problem-solving approach, identifying issues and proposing solutions.
  • Show an interest in brand and company culture, with a desire to contribute to their vibrancy through programming and office environment.
  • Be a collaborative team player, comfortable working with others and coordinating across various departments.
  • Be adaptable and eager to learn, maintaining a positive and productive attitude while shifting between tasks.

Qualifications

  • 1–3 years of experience in office coordination, reception, workplace experience, executive assistance, HR, or a similar field.
  • Proven experience in planning or supporting events, both in-person and virtual, with a focus on detail and quality.
  • Proficiency in Google Suite (Docs, Sheets, Calendar) and/or Microsoft Office.
  • Ability to occasionally lift and move equipment weighing up to 50 lbs.
  • Familiarity with HRIS or workplace management tools is advantageous.
  • Experience within a consumer brand, beauty, hospitality, or lifestyle company is a plus.
