About the Role
This position supports day-to-day administration at a project site in Ahmedabad. The role combines office coordination, manpower record management, vendor follow-up, compliance support, and reporting for the project team.
Site Administration and Office Support
- Handle the running of the site office, including paperwork, document control, filing, and routine correspondence.
- Look after site facilities such as accommodation, transport arrangements, housekeeping, and utility coordination.
- Manage ID cards, access permissions, and attendance systems for the site.
Manpower and HR Coordination
- Keep records for manpower, attendance, and leave for both employees and contract staff.
- Work with HR on mobilization, demobilization, onboarding, and exit activities.
- Provide support for payroll inputs, timesheets, and contractor manpower reporting.
Vendor, Contractor, and Procurement Coordination
- Liaise with local vendors, contractors, and service providers for site support services.
- Follow up on procurement for office needs, consumables, and other site-related items.
- Check and verify invoices and bills connected with site administration and services.
Documentation and Reporting
- Maintain registers, logs, and statutory files required for the site.
- Compile and share daily, weekly, and monthly administration reports with project management.
- Support audits and inspections by keeping documentation ready and accessible.
Compliance and Site Coordination
- Assist in meeting labor law, statutory, and company policy requirements at site level.
- Coordinate with the EHS team for safety induction records and related documentation.
- Help the project team with meetings, site visits, and review activities.
Asset and Inventory Management
- Track site assets, furniture, IT equipment, and consumables through proper records.
- Monitor issue, movement, and condition of assets at the site.
Communication and Liaison
- Serve as the main contact for administrative matters at the site.
- Coordinate communication between the site team, head office, and outside agencies.
- Ensure administrative instructions and updates are shared clearly and on time.
Qualification and Experience
The role calls for a bachelor’s degree or diploma in Administration, Commerce, Arts, or a similar discipline, along with 8 to 10 years of experience in site administration. Experience in EPC, solar, or infrastructure projects is preferred.
