Overview
This remote opportunity is for a detail-focused professional in the United States who can keep proposal operations organized, compliant, and on schedule. The role centers on tracking requirements, coordinating documentation, and supporting the proposal development process across several stakeholders and workstreams.
The position is suited to someone who enjoys handling complex information, maintaining accuracy under deadlines, and contributing to large-scale proposal efforts. It also offers exposure to cross-functional collaboration, government procurement activity, and broader business operations.
Key Responsibilities
- Manage proposal compliance work by following deadlines, required submissions, and supporting documents throughout the full proposal cycle.
- Update and maintain trackers, compliance lists, and workflow tools so teams have clear visibility into responsibilities and progress.
- Keep files organized in collaboration and document systems, with careful version control and accurate records.
- Prepare and maintain government-related forms, registrations, certifications, and other compliance records.
- Watch procurement and bidding portals for new opportunities, clarifications, amendments, and due dates.
- Assist with proposal production tasks such as formatting documents, creating PDFs, running quality checks, and ensuring readiness for final submission.
- Share status updates, compliance needs, and other critical details with internal partners to keep work moving on time.
- Support proposal and business development teams in running an efficient, well-structured proposal operation.
Requirements
- A bachelor’s degree in a relevant discipline, or an equivalent mix of education and professional experience.
- At least 3 years of experience in proposal coordination, proposal compliance, administrative operations, or a similar role.
- Strong precision and the ability to juggle multiple priorities and deadlines at once.
- Well-developed planning, organization, and time-management abilities.
- Clear written and verbal communication skills, with the ability to work smoothly across teams.
- Hands-on experience with document control, workflow coordination, and process tracking.
- Good command of Microsoft Office tools, including Word, Excel, PowerPoint, and Outlook.
- Advanced skills in Adobe Acrobat and preparing PDF documents.
- Familiarity with SharePoint, Microsoft Teams, or comparable collaboration/content platforms.
- Ability to manage sensitive information with discretion, professionalism, and integrity.
