Role overview
This position supports leaders responsible for Project Management and Creative operations across several U.S. business units. The role is embedded in a highly collaborative creative marketing environment where the work is meant to inspire, support bold ideas, and help deliver meaningful experiences. Success in this job depends on strong administrative capability, discretion, flexibility, and the ability to partner closely with senior leaders and their teams.
What you will do
- Partner directly with senior executives and their assistants across different levels of the organization.
- Coordinate complex calendars and arrange meetings across multiple time zones.
- Book conference rooms, video meetings, and related logistics.
- Stay ahead of daily priorities and shift quickly when urgent issues disrupt the schedule.
- Protect confidential and highly sensitive information with complete reliability.
- Prepare recurring reports and summaries, including time tracking and financial account updates.
- Support the creation of presentations and other materials for clients and internal stakeholders.
- Help monitor freelance resource tracking and billing.
- Contribute to projects and cast-related requests through research, writing, and fact-checking.
- Build multi-city travel itineraries while accounting for time zones and other practical details.
- Assist with onboarding and serve as a helpful point of contact for new team members.
- Coach and support other administrative professionals on both technical tools and teamwork skills.
- Handle office supply purchasing, purchase orders, and vendor agreements for the department.
- Respond to outside inquiries from vendors and organizations offering products or services.
- Provide backup support to other departments when needed.
What you need to succeed
- 3 to 5 years of experience supporting an executive, or an equivalent background.
- Strong writing and speaking skills, with excellent grammar and a broad vocabulary.
- Proven ability to juggle multiple priorities and meet deadlines.
- Comfort using computers, phones, office equipment, Microsoft Office, SAP, Confluence, Concur, and Windows-based systems.
- Composure and sound judgment when plans change unexpectedly.
- Excellent people skills and the ability to build effective working relationships.
- High trustworthiness when handling private and sensitive data.
- Willingness and confidence to learn new software and tools as required.
- Some schedule flexibility when business needs require it.
- Highly developed organization skills and close attention to detail.
- Professional presence, a positive outlook, and a proactive attitude.

Education
A bachelor’s degree is preferred but not mandatory; equivalent experience is also acceptable.
Compensation and benefits
The hiring range for this role in Celebration, FL is $51,500 to $68,900 per year. The actual base salary may differ based on internal equity, geographic location, job-related knowledge, skills, and experience. In addition to base pay, the package may include a bonus and/or long-term incentive units, along with medical, financial, and other benefits depending on the level and position offered. The company also provides health and savings benefits, educational opportunities, and other special perks.
