Job Summary

The Executive Assistant will be responsible for identifying and resolving problems promptly, skillfully gathering and analyzing information, maintaining strict confidentiality, and proactively anticipating the needs of the executives they support.

Key Responsibilities

  • Manage all aspects of travel arrangements, utilizing Cigna's online booking tool.
  • Ensure accurate and timely submission of all expense reports.
  • Oversee and optimize calendar management systems, identifying opportunities for increased efficiency and making critical last-minute scheduling decisions based on business priorities and sound judgment. Communicate urgent scheduling changes via email, phone, or text as appropriate.
  • Plan and coordinate internal and external meetings, including all necessary logistical arrangements.
  • Attend staff meetings to meticulously record minutes, track action items, follow up on assigned tasks, and manage invitations for guest attendees. Maintain the department's organization chart and email distribution lists.
  • Coordinate and manage the onboarding and off-boarding processes for employees and contractors.
  • Provide productivity support by arranging for help desk assistance for technical issues (computer, phone, printer), ordering necessary equipment and supplies through the designated portal, and collaborating with Corporate Real Estate on department space planning.
  • Undertake and manage team-wide projects and programs as required, such as team-building events or other special initiatives.
  • Draft, edit, and finalize various forms of correspondence, including letters, memos, mailings, and emails. Create Excel spreadsheets for tracking and monitoring information, prepare PowerPoint presentations, and compile miscellaneous reports.

Qualifications

  • A minimum of 10 years of progressive administrative experience is required.

  • Possess high-level interpersonal skills to manage sensitive and confidential situations and communicate effectively with individuals across the organization.
  • Previous experience in a Fortune 500 company environment is highly desirable.
  • Expert proficiency in critical Microsoft Office Suite tools, including Word, Excel, PowerPoint, and Outlook, with advanced calendar management skills.
  • Maintain a professional demeanor with exceptional verbal and written communication abilities.
