Role Overview

The Executive Assistant will support the Chief Marketing Officer and contribute to the overall efficiency and discipline of the marketing organization. This role combines senior-level administrative support with operational coordination for a large, fast-moving team.

The right candidate will be highly organized, forward-thinking, and comfortable handling multiple priorities while maintaining professionalism, sound judgment, and confidentiality. Acting as a dependable partner to the CMO, the person in this role will help manage executive time, coordinate leadership operations, and keep day-to-day marketing activities running smoothly.

This position is hybrid, with an expectation of 2–3 days each week in the New York office, plus additional on-site support for important meetings, leadership events, and departmental activities. The Executive Assistant will also act as a key in-office contact for the marketing team in NYC.

Key Responsibilities

  • Deliver senior-level administrative and operational support to the Chief Marketing Officer and other marketing leaders as needed.
  • Oversee a demanding and constantly changing executive calendar, making sure meetings and commitments are aligned with business goals and leadership priorities.
  • Act as a main communication bridge between the CMO and both internal and external partners, helping manage requests and information flow.
  • Draft briefing notes, meeting agendas, and presentation materials so the CMO is well prepared for meetings, events, and other important engagements.
  • Arrange travel within the U.S. and abroad, including itineraries, lodging, and expense submissions.
  • Review and approve travel and entertainment expenses, along with other expenses, on behalf of the CMO and assigned marketing leaders.
  • Provide in-office support on workdays, including meeting setup, logistics, and hospitality coordination.
  • Help organize Marketing leadership meetings by preparing agendas, assembling materials, and tracking follow-ups.
  • Work with the Marketing Operations team to document key initiatives and share action items with leadership stakeholders.
  • Coordinate meetings involving C-suite, corporate, and executive leadership teams.
  • Assist with logistics and preparation for off-sites, strategy sessions, and special leadership initiatives.
  • Support cross-functional projects and initiatives led by the CMO or the marketing leadership team.
  • Track deadlines, follow-ups, and deliverables to keep projects moving efficiently.
  • Maintain and organize documents, presentations, and shared resources used by the marketing leadership team.
  • Serve as the main contact for the marketing organization in the New York City office.
  • Handle incoming mail and packages and oversee their distribution.
  • Manage office supplies, marketing materials, promotional items, and inventory.
  • Help create a welcoming and well-organized office environment, working with building management when needed.
  • Welcome and assist visitors and employees during in-office days.
  • Support planning and delivery of marketing events, leadership meetings, and internal team gatherings.
  • Provide on-site assistance during major meetings, presentations, and team events.
  • Coordinate employee recognition activities and team celebrations with leadership and fellow executive assistants.

Qualifications

  • A bachelor’s degree in Business Administration, Marketing, or a related discipline is preferred.

  • Excellent written and verbal communication skills, with close attention to detail.

Compensation and Employment Details

The annual salary range for this role is $80,000 to $100,000.
