Role overview

This full-time permanent position sits within the Creative Sync team in London and supports the team’s daily administrative and operational needs. The role focuses on keeping workflows efficient, tracking pitches and assets accurately, and helping coordinate work across internal colleagues and outside partners.

The opportunity is well suited to someone who is highly organised, takes initiative, pays close attention to detail, and has a genuine interest in music with a desire to build a career in sync and music publishing.

Key responsibilities

  • Provide everyday administrative support to the Creative Sync team so priorities and activities stay organised and on track.
  • Coordinate diaries, arrange meetings, and assist senior team members with scheduling.
  • Keep team assets, databases, contact lists, and shared materials structured and up to date.
  • Help prepare and send audio assets, making sure internal and external requests are completed accurately and on schedule.
  • Assist with organising events, showcases, tickets, invitations, and artist-related activity.
  • Support the drafting and circulation of newsletters, internal communications, and other team content.
  • Extract reports and data from internal systems and maintain reliable records of sync pitches, submissions, and deals.
  • Prepare expense submissions and provide general administrative help to senior members of the Creative Sync team.
  • Work with colleagues across the business to keep information aligned and processes running smoothly.

What the role requires

  • Administrative experience, ideally gained while supporting senior executives or working closely with them.
  • Music industry exposure is preferred, especially familiarity with recorded music and/or music publishing.
  • Confident use of Microsoft Office tools, including Outlook, Word, and Excel, plus Google Workspace.
  • Experience with Photoshop, Canva, and iMovie would be an advantage.
  • Strong organisational ability with the capacity to handle several priorities at once.
  • A proactive, collaborative, and practical approach, combined with good judgement and professionalism.
  • Clear written and verbal communication skills.
  • Comfort working in a busy, high-volume, and changing environment.
  • Ability to handle confidential information responsibly.

Additional experience that would be valuable

  • Background supporting teams in creative, music, entertainment, or media environments.
  • Interest in music publishing, synchronization, and creative licensing.
  • Experience with databases, reporting, and operational processes.

How success is measured

By month 3: You should understand the team’s day-to-day processes, internal systems, and operational methods, and be able to manage core admin tasks, maintain accurate records, and support scheduling and asset organisation confidently.

By month 6: You should be working more independently, offering proactive support, handling client-facing activity and reporting needs, and spotting ways to improve efficiency while becoming a trusted contact for day-to-day operational support.

By year 1: You should be a dependable, high-value team member delivering seamless administrative and operational support across multiple areas, handling complex priorities, contributing to improvements, and supporting high-profile client work.

Behavioural strengths for success

  • Adaptability and a strong work ethic in a fast-moving environment.
  • Effective time management and the ability to prioritise competing demands.
  • Highly organised working style with excellent attention to detail.

Interview process

  • Introductory conversation with a recruitment team member.
  • First virtual interview with the hiring manager.
  • Final interviews held in person at the London office.
  • Feedback is provided at each stage.

The hiring process is intended to move from application to offer within about three working weeks, although occasional delays may occur and updates will be shared if that happens.
