About the Organization
Foundation for Women Warriors is a nonprofit with more than a century of service, focused on honoring and supporting women veterans and their families. The organization works to improve financial stability and overall well-being by offering financial aid, childcare assistance, financial literacy support, professional growth opportunities, and a dependable community network.
Role Overview
The Program Coordinator is the main contact for women veterans accessing the organization’s services. In this role, you will lead intake conversations, assess needs, match participants to the right support, oversee ongoing cases, and track progress toward financial and personal stability.
You will also keep client records accurate, monitor program results, help with grant-related reporting, and ensure each participant receives respectful, compassionate, and consistent support throughout their involvement with the organization.
Key Responsibilities
Veteran Support and Case Oversight
- Interview participants and complete detailed needs assessments to confirm eligibility and determine the most suitable services.
- Identify barriers that may prevent access to support and help create practical solutions.
- Explain program guidelines, timelines, eligibility rules, and next steps in a clear and supportive way.
- Provide consistent follow-up and quarterly case reviews to monitor participant progress.
- Help veterans build budgets, set financial goals, and strengthen money-management skills.
- Guide participants toward housing, childcare, and other essential community resources.
- Support application preparation and documentation, including payment or check request paperwork when needed.
- Review surveys and assessments to identify additional support needs and long-term opportunities.
Program Administration and Data Management
- Keep case notes and documentation complete, accurate, and up to date in the client management system.
- Protect the privacy and integrity of client information while following internal policies and funder rules.
- Track outcomes and grant-required metrics using Apricot or other assigned databases.
- Audit client files regularly to confirm accuracy and compliance.
- Work with the team on reporting, data review, and program evaluation efforts.
- Prepare internal and external reports describing program activity, outcomes, and impact.
- Review applications for completeness, accuracy, and financial feasibility.
- Maintain reporting schedules and meet grant deadlines, deliverables, and reporting obligations.
Program Support and Organizational Engagement
- Take part in staff meetings, training sessions, community events, and professional development opportunities.
- Partner with colleagues on program improvements, special projects, and strategic initiatives.
- Contribute ideas that help strengthen program goals, services, and participant outcomes.
- Carry out other duties as assigned.
Skills and Qualifications
- Strong verbal, written, and interpersonal communication abilities.
- Highly organized with careful attention to detail.
- Ability to build trust with veterans while maintaining professional boundaries.
- Good judgment, problem-solving ability, and critical thinking skills.
- Comfort working independently and as part of a team.
- Experience balancing multiple priorities in a busy environment.
- Solid data entry and database management capability.
- Proficiency with Microsoft Office and CRM/client management systems.
- Strong online research skills and the ability to locate relevant community services.
- Commitment to confidentiality and responsible decision-making.
Education and Experience
A bachelor’s degree in Social Work, Human Services, Psychology, Public Administration, or a related field is preferred. A combination of education and relevant experience may also be considered.
Experience supporting veterans, military families, low-income communities, or other underserved groups is preferred. Familiarity with community resources, public benefits, and supportive services is also desirable. The role requires comfort working with people from diverse cultural, socioeconomic, and military backgrounds.
Additional Requirements
- A valid California driver’s license is required.
- You must have a reliable personal vehicle with current auto insurance.
- Local travel is needed for client meetings, community events, trainings, and partner meetings.
- Successful completion of organizational onboarding and required communication training is required.
Compensation and Benefits
The pay range for this role is $24.00 to $27.00 per hour.
Benefits include a Health Reimbursement Arrangement (HRA), paid time off, paid holidays, tuition reimbursement, and a 401(k) employer match.
