Role overview
An experienced and self-directed Office Manager is needed to run day-to-day office activity at the Ellerslie site and provide administrative support to the wider team. This is a permanent, full-time position based in the office for 40 hours each week, Monday through Friday.

Key responsibilities
This role covers office administration, coordination, and support across multiple operational areas.
Office operations and administration
- Manage routine office operations, including supplies, upkeep, and supplier coordination
- Lead onboarding and exit processes for staff
- Oversee IT devices and administrative tools used by the office
- Administer expenses, purchase orders, and invoice handling
Meetings, events, and travel
- Plan office events and staff engagement activities for the Ellerslie location
- Set up meetings and manage conference room reservations
- Coordinate travel arrangements for team members
- Maintain calendars and scheduling for office personnel
- Support initiatives that strengthen team culture and collaboration
Internal project support
- Provide administrative help to the Australia team on internal projects
- Organise project documents and communications
- Assist with timelines and deliverables through efficient admin support
- Act as a link between teams to keep project work moving smoothly
Systems and process management
- Work with procurement systems; Ariba experience is an advantage
- Maintain a solid working knowledge of business procedures and administrative systems
- Support purchase order creation, invoice processing, and system coordination
- Use Google Workspace and related software effectively
Requirements
- At least 10 years of experience as an Office Manager in a medium to large organisation
- High school completion or equivalent; a post-secondary business administration qualification is preferred
- Strong working knowledge of Google Suite and other relevant applications
- Proven background in office administration and operational support
- Excellent organisational, planning, and time-management skills
- Strong written and verbal communication abilities
- Careful attention to detail and the ability to handle sensitive information discreetly
- Comfort working under pressure, managing several priorities, and switching between tasks
- Strong problem-solving ability and a willingness to learn independently
- Ability to work on your own initiative with minimal supervision
- Well-developed interpersonal and customer service skills across all levels
- Self-motivated approach with the ability to anticipate needs and suggest practical solutions
- Trusted partner mindset with strong stakeholder management capability
- Commitment to accurate, high-quality work
- Ability to manage workload independently and deliver outcomes reliably
- Prior experience coordinating events and logistics
