What the role involves
The HR Coordinator serves as a central operations contact for recruiting coordination, onboarding, employee experience, HR administration, and benefits support. The position is responsible for making sure administrative details are handled promptly, communication stays clear, and new employees feel supported from the moment they accept an offer through their early weeks on the job.
Candidate scheduling and recruiting support
- Manage interview scheduling and related logistics across hiring managers, interviewers, and candidates with efficiency and accuracy.
- Keep candidates informed with timely, professional communication throughout the hiring process.
- Work alongside the Senior Talent Partner to support active searches and help maintain recruiting momentum.
- Update the applicant tracking system with accurate records so the hiring team always has current information.
- Post open positions to job boards and the careers page, then remove listings once roles are filled.
- Start and monitor background checks and pre-employment screening for candidates in the final stages of hiring, following up until completion.
Onboarding and new hire support
- Handle pre-start coordination for each new hire, including answering questions and arranging onboarding meetings.
- Partner with hiring managers to prepare a structured first-day agenda for every new employee.
- Organize new hire check-ins to help employees settle in and understand what comes next.
- Support technical setup with IT so new hires have the required access and understand the systems they need.
- Coordinate product onboarding so employees create a Seeking profile and learn the platform they will support.
- Gather and verify I-9 documentation and keep compliance records aligned with legal requirements.
- Collect and store training completion certificates and keep completion tracking accurate.
Swag and welcome experience
- Run the onboarding swag program from start to finish, including sourcing, assembling, and managing welcome packages based on employee level.
- Research new branded items that fit the company’s culture and brand standards.
- Maintain vendor relationships, inventory, and ordering schedules so welcome packages are always ready for incoming hires.
- Coordinate personalization, packaging, and shipping so gifts arrive on or before the employee’s start date.
- Track spending and inventory, and recommend updates when the program needs to be refreshed.
Employee experience, events, and culture
- Support culture initiatives, team activities, and employee appreciation efforts.
- Help plan HR events from concept through execution, including scheduling, vendor coordination, materials, and setup.
- Contribute ideas and enthusiasm to programs that strengthen connection to the company and to colleagues.
- Coordinate logistics for training programs and learning events, including communications, attendance, and materials.
- Support the Training & Development Partner with administrative tasks related to learning initiatives.
- Assist the Senior Talent Partner with college recruiting activities.
HR administration and operations
- Maintain employee files and records in line with company standards and applicable requirements.
- Process HRIS changes such as new hires, terminations, job changes, and other employee data updates quickly and accurately.
- Support policy administration and help employees access current HR documents and resources.
- Assist with offboarding coordination so exits are organized and complete.
- Help draft and distribute internal HR communications when needed.
Benefits administration
- Serve as a first contact for employee benefits questions and guide employees to the right resources.
- Support benefits enrollment for new hires and during open enrollment, coordinating with providers and meeting deadlines.
- Keep benefits records accurate and identify discrepancies or updates that need HR or provider follow-up.

Success in this role means interviews are arranged quickly, candidates understand each step of the process, new hires receive a prepared first day and a thoughtful welcome, and HR administration is handled without constant follow-up. Experience and education
The ideal candidate has at least 2 years of experience in an HR coordinator, recruiting coordinator, or people operations role. A bachelor’s degree in Human Resources, Business Administration, Psychology, Communications, or a related field is preferred by the role description.
