Role overview
The Executive Assistant will provide direct support to the Chief Executive Officer, helping manage top priorities, executive coordination, and event planning. This role is meant to extend the CEO’s effectiveness by keeping schedules organized, communications flowing, travel arranged, and day-to-day operations running smoothly.
This is a high-trust, high-visibility position that plays an important part in helping the company scale. The role is hybrid and requires onsite presence three days per week in Redwood City.
Key responsibilities
- Manage a demanding calendar across multiple time zones, using judgment to rank meetings by urgency, business impact, and strategic importance.
- Guard executive time by reviewing incoming requests, maintaining buffer blocks, and solving scheduling conflicts before they become problems.
- Help plan and execute large events.
- Join meetings on behalf of executives when needed, record clear notes, capture decisions, and drive action items to completion.
- Write, revise, and send messages for executives with polished, concise, and professional communication.
- Act as the main coordination point for executives with internal leaders, outside partners, and vendors.
- Filter, summarize, and escalate important updates, risks, and insights while handling sensitive information with strict confidentiality.
- Support recurring leadership meetings such as weekly business reviews, staff meetings, planning sessions, and offsites by preparing agendas, taking notes, tracking actions, and following up.
- Develop and refine systems, templates, and processes that improve executive productivity.
- Coordinate end-to-end travel, including itineraries, bookings, reservations, and expense reporting.
- Keep operations running smoothly during busy periods, frequent travel, and times of rapid change.
Requirements
- At least 5 years of experience supporting senior leaders, ideally at the CEO or C-suite level in a high-growth, fast-paced environment.
- Strong capability in calendar coordination, prioritization, and overall organization.
- Excellent written and spoken communication skills, with the ability to create clear executive-ready messaging.
- Sound judgment, professionalism, and discretion when dealing with confidential information.
- Strong project management ability and the discipline to move tasks forward independently.
- Ability to predict needs, solve issues without close supervision, and stay ahead of deadlines.
- Comfort working through ambiguity while remaining composed and focused.
- High emotional intelligence and the ability to work across teams with tact, empathy, and confidence.

Compensation
The advertised compensation range is $100,000 to $150,000.
