Role overview
This position sits within the Digital and Data Services team and supports a multi-disciplinary project group delivering digital, data, and IT change across the Trust. The post is focused on providing organised, dependable, high-quality project coordination throughout the full lifecycle of each project so that delivery is efficient, effective, and aligned to agreed plans and timelines.
The coordinator will help make sure project milestones are achieved on schedule, relevant colleagues are engaged at the right stages, and key information is captured, checked, and shared clearly. The role also requires regular preparation of reports, minutes, briefing papers, and other project documents to keep workstreams moving smoothly.
This is a Trust-wide role requiring work across all sites. It calls for a confidential, adaptable, self-starting approach and the ability to remain effective when priorities shift or deadlines are tight.
Key responsibilities
- Partner with project managers to ensure project activities are delivered within the agreed timetable and according to the project plan.
- Maintain accurate project governance records and reporting tools, including RAID logs and highlight reports, ensuring all relevant details are captured and kept current.
- Prepare and update project documents such as Project Initiation Documents, plans, Terms of Reference, testing scripts, and options papers.
- Track progress, risks, and issues, then provide timely updates to stakeholders.
- Set up meetings, draft agendas, and record minutes and actions.
- Arrange system demonstrations and ensure appropriate end users from internal and external groups attend.
- Document current workflows and operating procedures, convert them into maps or flowcharts, and confirm user requirements throughout the project process.
- Capture post-implementation optimisation needs, record issues, and support the tracking of improvements through to implementation and monitoring.
- Help develop training materials and support training delivery while helping evaluate its effectiveness.
- Assist project managers with scheduling and coordinating multiple live projects at the same time.
Requirements
- Ability to support projects across the whole delivery lifecycle in a structured and organised way.
- Strong attention to detail when managing project controls, reports, and documentation.
- Good communication skills for coordinating stakeholders, taking minutes, and preparing briefing materials.
- Comfort working with confidential information and handling sensitive project data appropriately.
- Flexible, proactive, and able to work under pressure to deadlines.
- Experience or capability in process mapping, requirement validation, and supporting testing or training activities is important for this role.
