About AIEF
The Australian Indigenous Education Foundation (AIEF) was created in 2008 after Indigenous families called for greater support for children attending boarding schools. It brings together government and private-sector backing to fund scholarships for Indigenous students through Year 12 or tertiary study, while also offering mentoring and career support to help them move into employment.
Supported by leading figures across business, philanthropy, media and the community, AIEF has expanded from one scholarship student in 2008 to more than 1,500 young Indigenous people from over 400 communities across every state and territory in Australia. Since its first scholarship, the organisation has consistently reported retention, Year 12 completion and career transition outcomes above 90%.
The Role
Reporting to the Chief of Staff, this position provides high-level executive coordination and administrative assistance. The successful candidate will keep priorities moving, draft polished communications, prepare executive materials, and manage reporting and follow-up across the organisation so that tasks, workflows and deadlines stay on track.
Executive Administrative Support
- Deliver organised, high-quality support by identifying priorities and anticipating what is needed next.
- Keep day-to-day workflows running smoothly so the Chief of Staff can remain focused on strategic matters.
- Prepare and manage professional written correspondence on behalf of the Chief of Staff.
- Handle ad hoc support tasks as requested, including diary and calendar coordination.
Reporting and Project Execution
- Manage organisation-wide reporting, including data handling, tracking of tasks, projects and activities.
- Monitor deadlines and reporting obligations across the organisation to ensure nothing is missed.
- Support CRM workflows, task management and reporting requirements for the Deputy CEO.
- Track deliverables, projects and tasks for internal stakeholders and escalate where deadlines are at risk.
- Compile, format and quality-check executive-level documents in MS software to a submission-ready standard.
Leadership, Team and Collaboration
- Work across teams to support a unified and consistent experience throughout the organisation.
- Contribute to organisation-wide events, initiatives and projects that require a flexible, all-hands approach.
Required Capabilities
- A tertiary qualification or equivalent experience in a relevant field.
- Strong alignment with AIEF’s values: Authenticity, Tenacity and Audacity, Passion, Best Practice Pacemakers and Loyalty.
- The ability to stay effective under pressure while managing several priorities and deadlines.
- Excellent organisation, accuracy and attention to detail.
- Strong written and verbal communication skills, with the ability to explain complex information clearly and briefly.
- A proactive, self-driven approach and the ability to work independently as well as in a team.
- Experience in Indigenous education is considered an advantage.
- Proven ability to influence, negotiate and communicate across all levels of an organisation, including senior internal and external stakeholders.
