About the Role
Parsons is hiring an experienced Document Controller to oversee the full document management process for a premium hospitality development, including a resort and hotel. The position centers on running ACONEX EDMS, keeping document handling aligned with project and client expectations, and enabling smooth coordination across multiple teams through reliable, timely, and secure record control.
This opportunity is intended for someone with 8 to 10 years of document control background on major construction or hospitality projects.
Key Responsibilities
- Oversee the receipt and dispatch of project records such as drawings, specifications, RFIs, submittals, and correspondence through ACONEX EDMS, following project procedures.
- Set up and maintain workflows, numbering structures, and revision tracking so that only the latest approved versions remain in use.
- Liaise with the design client, contractors, hotel operators, and internal stakeholders to keep document submissions, reviews, and approvals moving on schedule.
- Track review timelines, chase pending actions, and issue regular reports and logs to project leadership.
- Keep registers, transmittals, distribution lists, and archive systems accurate, complete, and ready for audit across all hospitality project records.
- Guide and train project team members on ACONEX, document control procedures, and hospitality-specific best practices.
- Take part in internal and external audits while ensuring alignment with client expectations, contract requirements, and QA/QC standards.
- Compile handover sets, as-built records, and closeout documentation for resort and hotel operations.
Required Skills and Experience
- Bachelor’s degree or diploma in Business Administration, Information Management, Engineering, or a similar field.
- Several years of document control experience on construction projects, ideally in hospitality, mixed-use, or large-scale developments.
- Practical, hands-on knowledge of ACONEX EDMS, including workflow setup, metadata handling, and document distribution matrices.
- Solid understanding of document control standards, lifecycle management, and record governance in a fast-moving project setting.
- Strong organizational ability with excellent attention to detail and the capacity to manage large document volumes and competing priorities.
- Good command of Microsoft Office tools, including Word, Excel, and PowerPoint, along with strong English writing and speaking skills.
Preferred Background
- Prior exposure to luxury hotel, resort, or major hospitality projects in the region.
- Knowledge of ISO-based quality systems and customer-specific document control rules.
- Experience preparing final handover packages for operators and end users in hospitality environments.
- Ability to collaborate effectively with diverse, multidisciplinary teams and support junior document control staff when needed.
