Role Overview

This full-time, exempt Project Coordinator role supports Account Directors and Project Managers by handling daily coordination, keeping timelines organized, and ensuring work progresses smoothly across internal teams and vendors. The position is centered on detail management, communication, follow-through, and removing obstacles so projects stay on schedule and within scope.

Reports to: VP of Sales
Compensation: USD 44,000 to 48,000 depending on experience
Schedule: Monday through Friday, 8:00 AM to 5:00 PM

Key Responsibilities

  • Work closely with Account Directors and Project Managers to support client deliverables and take care of errands tied to client and sales needs.
  • Handle routine communication with clients and Account Directors while helping with account management activities.
  • Evaluate RFQs, collect project specifications, and coordinate estimate requests with the Account Director.
  • Prepare accurate estimates, sales orders, and purchase orders, and communicate clear scheduling expectations.
  • Organize and run kickoff meetings with stakeholders to align on project or program details.
  • Help troubleshoot production issues and support the implementation of corrective actions.
  • Coordinate and oversee installations.
  • Support project tracking, share updates with clients, and resolve shipping or logistics problems when they arise.
  • Maintain project grids and distribution lists accurately from start to finish.
  • Submit requests to the Creative Department for deck development and concept work.
  • Deliver material samples such as stock, ink, and foil to the Account Director or directly to clients.
  • Partner with internal teams and outside vendors to develop prototypes.
  • Take part in press checks to help confirm production quality.
  • Provide strong service to both internal stakeholders and external clients.
  • Perform additional duties as needed; responsibilities may shift with or without notice.
