Role Overview
The Volunteer Personal Assistant to the CEO is responsible for keeping executive operations organized and running smoothly. This remote role supports the CEO through calendar coordination, communication handling, travel planning, and other administrative tasks that help protect time for strategic priorities. The position calls for a reliable, discreet, and highly organized professional who can manage a varied workload with initiative.
In this role, you will act as an important contact for both internal teams and outside stakeholders, helping maintain clear communication and efficient scheduling. It is a volunteer opportunity that offers exposure to nonprofit leadership and executive support while contributing to a cause centered on positive social change.
Key Responsibilities
- Manage the CEO’s schedule by organizing meetings, appointments, and travel plans.
- Arrange priorities within the calendar so time is aligned with business goals and organizational requirements.
- Act as the main communication point for internal and external contacts, handling correspondence professionally.
- Create, revise, and polish documents, presentations, and reports for the CEO.
- Put together meeting agendas, reference materials, and presentation content so the CEO is prepared in advance.
- Join meetings with the CEO, record detailed notes, and track follow-up actions.
- Coordinate travel details such as flights, lodging, and ground transport, and prepare complete itineraries.
- Protect confidential and sensitive information with strong judgment and discretion.
- Assist with additional administrative needs to support day-to-day operations.
Qualifications
- A bachelor’s degree in Business Administration, Communications, or a similar field is preferred but not required.
- Prior experience supporting executives or senior leaders in a personal or executive assistant capacity.
- Strong organizational and time-management abilities.
- Clear communication and good interpersonal skills.
- Fluency in English; professional Spanish proficiency is highly desirable.
- Comfort using Microsoft Office tools such as Word, Excel, PowerPoint, and Outlook, along with related software.
- Careful attention to detail and accuracy.
- Ability to manage confidential information responsibly.
- Adaptability and willingness to adjust to changing priorities.
- Strong critical-thinking and problem-solving skills.
- Capability to work independently with little supervision and also collaborate effectively in a team setting.
