Role Summary
This is an on-site contract Personal Assistant role supporting leadership for Manor AI’s medical clinic client in Los Angeles, CA. The position centers on daily administrative and logistical support, including calendar handling, meeting coordination, travel arrangements, social media support, AI marketing setup, and general day-to-day organization.
Key Responsibilities
- Manage schedules, appointments, and meeting coordination for leadership.
- Arrange travel plans and other day-to-day logistics.
- Support social media activities and assist with setting up AI marketing tasks.
- Handle incoming and outgoing communication, including screening and directing messages.
- Prepare simple documents, reports, and presentations when needed.
- Keep both digital and physical files neatly organized and up to date.
- Assist with small meetings or events and carry out clerical work such as data entry, formatting, and expense tracking.
- Stay ahead of operational needs, protect confidential information, and coordinate with internal and external stakeholders to keep work moving smoothly.
Qualifications
- Experience in personal assistance with a proactive approach, good prioritization, and careful handling of sensitive information.
- Interest in using AI tools.
- Background in executive administrative support, including scheduling, travel coordination, and meeting preparation.
- Strong written and spoken communication skills with a professional and courteous manner.
- Experience managing calendars and adjusting quickly to changing priorities.
- Good clerical ability, including document preparation, data entry, filing, and record keeping.
- Strong reliability, time management, and attention to detail in a busy environment.
- Comfort using productivity and collaboration tools such as email, calendars, spreadsheets, and shared drives; familiarity with tech or AI-focused environments is an advantage.
- Previous support experience for executives, founders, or senior leaders is preferred, and startup or high-growth company exposure is helpful.
