About the role
This associate-level Talent Operations role is designed for someone who can reliably manage interview scheduling while also contributing to broader people operations work. The position is not limited to coordination; it also involves recruiting operations, HR administration, analytics, and process design. The right person will help create scalable systems from the ground up and gradually take ownership of end-to-end people programs.
Target outcomes
- A documented and functioning interview coordination system, covering intake, tools, service-level expectations, and recruiter workflows, is launched and operating smoothly within the first 60 days.
- Recruiters new to working with a coordinator are brought up to speed on the new model and experience significantly less scheduling burden.
- ATS records remain complete, accurate, and ready for audit, with clear hygiene rules and reporting processes that support recruiting analysis and decision-making.
- Operational support for compensation cycles, performance management, and year-end benefits enrollment is delivered with very few missed details.
- By the six-month point, the role expands beyond scheduling so the person is independently leading at least one people operations or HR initiative end to end.
Responsibilities
- Manage interview scheduling from start to finish across all stages, including hiring manager screens, technical interviews, and onsite loops, using Greenhouse and any additional scheduling tools that may be introduced.
- Create and document the operating model for coordination, including request intake, response timelines, calendar standards, and expectations for how recruiters should partner with the role.
- Act as the main contact for candidates and interviewers during scheduling, and handle reschedules, cancellations, and time zone coordination across a distributed team.
- Assist with offer letter preparation, onboarding paperwork, and the transition from candidate to new hire in coordination with recruiters and hiring managers.
- Support people operations work such as compensation cycles, compensation banding, performance management, engagement surveys, benefits enrollment, and HR administration.
- Keep ATS and HRIS data clean and reliable by performing audits, reviewing reports, and fixing data gaps.
- Work with the Human Resources team as the function grows, taking on additional responsibilities as priorities evolve.
Requirements
- At least 2 years of experience in talent operations, HR operations, recruiting coordination, or a similar function.
- Practical experience using an ATS, preferably Greenhouse, and the ability to learn new tools quickly.
- Proven ability to coordinate a high volume of interviews across multiple time zones with strong accuracy and speed.
- A process-building mindset with the ability to design repeatable and scalable ways of working, not just execute tasks.
- Background supporting people or HR programs beyond interview scheduling, such as onboarding, offboarding, benefits, engagement surveys, or compensation cycles.
- Strong attention to detail and comfort operating in an early-stage environment where processes are still being defined.
- Professional, clear written communication for candidates, interviewers, and internal partners.
- Must be based in the EST through PST time zones.
Nice to have
- Experience using Modern Loop or a similar interview scheduling platform.
- Exposure to Rippling, Culture Amp, or comparable HRIS and engagement survey tools.
- Experience with compensation banding, performance review cycles, or benefits administration.
- Past involvement in building or redesigning onboarding programs for new hires.
- HR certification in progress or already completed, such as SHRM-CP or PHR.
- Previous work experience in a high-growth startup or within crypto/fintech.
