This opportunity is for a partner organization that handles all applications and hiring steps. The employer is seeking a Portfolio Associate - Reporting in Germany.
You will support the operational foundation of a scaling investment platform by managing portfolio reporting, maintaining data quality, and coordinating deal flow. The role is centered on keeping portfolio and transaction information accurate, well-structured, and easy to access so that investment decisions can be made with confidence. It is suited to someone detail-focused who enjoys bringing order to complex information, improving workflows, and balancing several priorities in a collaborative, fast-moving environment. With a strong level of ownership, you will help strengthen the platform’s scalability and contribute to portfolio expansion and transaction execution.
Key responsibilities
- Take ownership of collecting, checking, reconciling, and updating financial and operational data for portfolio companies in CRM and reporting tools.
- Deliver accurate and timely portfolio reporting by gathering regular updates, spotting mismatches in data, and working with the right stakeholders to fix them.
- Build and maintain internal dashboards, reports, and performance-tracking tools used by investment teams and senior leadership.
- Act as an operational contact for portfolio companies by coordinating surveys, sharing resources, supporting communication, and identifying recurring needs.
- Handle incoming investment opportunities by recording, sorting, tracking, and directing them through the correct review path.
- Keep CRM records and pipeline data clean, current, and properly documented.
- Support deal execution by coordinating documents, tracking transaction milestones, monitoring closing items, and keeping deal files organized.
- Work with internal teams and external parties to gather, structure, and manage investment-related materials.
- Improve reporting methods, operational processes, CRM administration, and portfolio management systems to increase efficiency and reduce operational risk.
- Look for opportunities to automate tasks and streamline investment operations and reporting activities.
Requirements
- 2 to 4 years of experience in operations, investment support, FP&A, analyst, reporting, or a similar role, ideally in venture capital, private equity, investment management, or financial services.
- Excellent organization and strong attention to detail, with a consistent focus on accuracy and process discipline.
- Practical experience using CRM platforms, deal flow management tools, reporting systems, and advanced Excel or Google Sheets features.
- Ability to design, document, refine, and sustain structured operational processes and workflows.
- Strong analytical thinking and problem-solving ability, including spotting discrepancies and putting effective fixes in place.
- Capacity to handle several priorities at once while staying accurate and meeting deadlines.
- Self-driven and able to work independently in a remote, global, fast-paced setting.
- Strong communication and stakeholder management skills, with the ability to work well with internal teams and external partners.
- Experience with venture capital, growth-stage investing, portfolio reporting, valuation methods, or investment operations is a strong plus.
- Background in CRM administration, reporting dashboards, or blockchain/digital asset ecosystems is also advantageous.
